Administrative Assistant / Bookkeeper
Our company is rapidly growing and we are looking to expand our team! We are looking for a responsible Executive Administrative Finance Assistant to perform a variety of administrative and financial duties. Duties of the Executive Administrative Assistant include, providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The bookkeepers duties would include all aspects of Accounts Payable, Accounts Receivable, keeping the accounts balance and up to date. Experience or knowledge in construction field is required. Upon Second interview there will be discussion of benefits.
Responsibilities:
- Strong organizational skills with the ability to multi - task.
- Review and process Accounts Payable
- Review and process Accounts Receivable making sure customers are staying within their payment terms, which includes emails and calls.
- Sending/Receiving of invoices, using Quickbooks Online
- Job protection - Filing NTO's within 45 days of project start, process and or request releases as payments are rendered, file Notice of Intent to Lien, and file Liens within timely manner (within 90 days of last material or labor furnished.
- Ensuring all Certificates of Insurance are up to date - Requesting from Subcontractors as they expire and supplying our builders with our policy once previous expires.
- Processing Subcontractor 1099's at the end of each year
- Reading, reviewing, and replying to multiple email requests daily
- Monitoring business licenses to insure they are up to date
- Reviewing and monitoring of companies auto Insurance Policies, completing a monthly vehicle maintenance check on all company vehicles, vehicle registrations, and Leeway Accounts
- Reviewing the budget and profit and loss in Builder Trend and Quickbooks.
- Communicate with multiple vendors, builders, and suppliers via phone and email.
Skills
- Proven experience as an Adminstrative Assistant and Bookkeeping
- Knowledge of Office Management systems and procedures
- Knowledge and experience in the following : Microsoft, Excel, Quickbooks Online (MUST), Buildertrend preferred (training will be offered)
- Excellent time management skills and the ability to prioritize work
- MUST HAVE STRONG Attention to detail and problem solving skills
- Excellent written and verbal communication skills is a must
- Bilingual is preferred but not a requirement
- Self motivated
- MUST work well under pressure and works well with others.
