JOB TITLE: Executive Assistant to the COO
Company Overview: A family owned and operated, leading and rapidly growing multi location business dedicated to providing top-notch service and convenience to our customers. With 16 locations across Wyoming & Montana, we pride ourselves on innovation, efficiency, and customer satisfaction. We are looking for a highly organized and proactive Executive Assistant to support our Chief Operating Officer (COO) in driving operational excellence as our company continues to expand into new states with new locations.
Job Summary: The Executive Assistant to the COO will play a critical role in ensuring smooth operations by providing high-level administrative support, managing schedules, coordinating projects, and facilitating communication between internal and external stakeholders. This role requires exceptional organizational skills, discretion, and the ability to anticipate the needs of the business and the COO.
Key Responsibilities:
- Provide comprehensive administrative support to the COO, including managing calendars, scheduling meetings, and handling correspondence.
- Prepare reports, presentations, and documents for executive meetings and strategic planning sessions.
- Coordinate and oversee special projects, ensuring deadlines and deliverables are met.
- Act as a liaison between the COO and other departments, ensuring seamless communication and collaboration.
- Manage travel arrangements, itineraries, and expense reporting.
- Conduct research and compile data to support decision-making processes.
- Assist in tracking key performance indicators (KPIs) and operational metrics.
- Maintain confidentiality and handle sensitive information with discretion.
- Support the execution of company-wide initiatives and operational improvements.
- Organize and facilitate executive-level meetings, including agenda preparation and minute-taking.
- Ability to follow specific and detailed instructions
Qualifications:
- 3 years of experience as an Assistant preferred, preferably supporting senior executives.
- Strong organizational and multitasking abilities with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- Ability to work independently, take initiative, and anticipate the needs of the COO.
- High level of professionalism and discretion in handling confidential information.
- Strong problem-solving skills and the ability to adapt to a fast-paced environment.

Pay: $24.00 - $30.00 per hour
Expected hours: 35 – 45 per week
