Position Overview:
We are seeking a highly motivated and organized individual to join our team as a Receptionist. As the first point of contact for our clients, tenants, and visitors, you will play a crucial role in creating a positive and professional impression of our company. The ideal candidate will have excellent communication skills, attention to detail, and a customer-centric approach. Starting pay based on experience.
Responsibilities:
1. Front Desk Operations: Open and close the office each day. Manage the reception area efficiently, greeting visitors, answering phone calls, and directing inquiries to the appropriate department or personnel.
2. Customer Service: Provide exceptional customer service to clients, tenants, and visitors, addressing their inquiries and concerns in a prompt and courteous manner.
3. Appointment Scheduling: Coordinate and confirm appointments for rental property inspections, meetings, and other activities, ensuring efficient use of time and resources.
4. Administrative Support: Assist with various administrative tasks, including some data entry in Property Management software, filing, scanning, and document preparation, to support the smooth functioning of the office.
5. Communication: Effectively communicate with internal team members and external contacts to relay messages, share information, and facilitate seamless collaboration.
Preferred Qualifications:
1. Previous experience as a receptionist or in a customer-facing role.
2. Excellent communication and interpersonal skills.
3. Strong organizational abilities and attention to detail.
4. Proficient in MS Office (Word, Excel, Outlook).
5. Ability to handle multiple tasks simultaneously and prioritize effectively.
6. General knowledge of property management and real estate is a plus.
7. Ability to operate a multi-line phone system.
Education and Experience:
- High school diploma or equivalent.
- Previous experience in a similar role is preferred.
