Front Desk Patient Coordinator - Med Spa

Overview: As a Front Desk Patient Coordinator, you will be the first point of contact for our clients, providing exceptional customer service and ensuring a positive experience from start to finish. You’ll manage appointments, greet clients, handle inquiries, and provide administrative support while maintaining a welcoming and professional atmosphere.
Key Responsibilities:
- Customer Service Excellence: Provide a warm and friendly greeting to clients as they enter the spa, ensuring a positive and welcoming experience.
- Appointment Scheduling: Manage and schedule client appointments using our booking system, ensuring smooth transitions between services and minimizing wait times.
- Client Communication: Respond to phone calls, emails, and online inquiries, addressing client needs and providing accurate information about treatments, services, and promotions.
- Check-In/Check-Out Process: Ensure clients are checked in and out efficiently, processing payments, handling billing inquiries, and scheduling follow-up appointments.
- Client Education: Educate clients about available services and treatments, offering recommendations based on their needs and preferences.
- Maintain Client Records: Update and maintain accurate client information and treatment history in our system, ensuring confidentiality and compliance with privacy regulations.
- Environment: Assist with the overall cleanliness and organization of the front desk and practice area, ensuring it reflects a professional and calming environment.
- Promotions & Sales Support: Inform clients of ongoing promotions, products, and services, and assist in upselling services to enhance client satisfaction.
- Problem Resolution: Address and resolve client concerns or complaints with professionalism and empathy, ensuring a satisfactory resolution.
Qualifications:
- Customer Service Experience: Previous experience in a customer-facing role, preferably in a spa, medical, or wellness environment.
- Communication Skills: Excellent verbal and written communication skills, with a friendly and approachable demeanor.
- Organization: Strong organizational skills, able to multitask and manage time effectively.
- Tech-Savvy: Comfortable using scheduling software and general office equipment (computers, phones, etc.).
- Professional Appearance: Maintain a polished and professional appearance at all times.
- Positive Attitude: A genuine passion for helping others and creating a positive experience for every client.
Preferred Qualifications:
- Previous experience in a med spa, beauty, or wellness setting.
