What are the responsibilities and job description for the Administrative Coordinator of Beth Am Educational Program position at Congregation Beth Am?
We are Congregation Beth Am, a young and dynamic Jewish community in Carmel Valley, San Diego. One of our central traits is education, and we are known for the schools that reside underneath our roof, beginning in our Early Childhood Center and continuing to our Supplementary High school program known as Sabra. We are a synagogue of 500 families, and the vast majority have a student involved in one or more of our schools. We are a kind and caring place known for meeting our families and students where they are and helping them grow. We are looking for an Administrative Coordinator (AC) of our Educational Programs who can join a staff with the same traits and help foster this culture.
The AC will provide organizational leadership for Congregation Beth Am (CBA) Youth Education programs, focusing specifically on grades Kindergarten to 12. The AC will serve as a member of our staff team and a back-office administrator for these programs, ensuring their smooth execution and effective communication. The AC will also ensure that our teachers have the proper setup and materials to be successful. This is an in-person position.
Beth Am Educational Programs Include:
Jewish Learning Center: A supplementary Hebrew school for grades K-6 meets on Sundays from 9:00 AM to 12:00 PM and Wednesdays and Thursdays from 4:00 PM to 6:30 PM. This program also includes special events during and outside regular school hours.
Sabra: A supplementary Hebrew High program for grades 7-12, meeting on Mondays from 5:45 PM to 8:30 PM. This program also features special events during and outside of regular school hours.
High Holiday Children's Services: This program operates during the Jewish High Holidays in early fall, from 9:00 AM to 1:00 PM.
Bnei Mitzvah Program: This includes a date assignment meeting for 5th-grade students in late January, 2-3 social programs during the 6th-grade year, and eight monthly family education programs titled "TNT" in 7th grade. Individual tutoring and rabbis' meetings commence seven months before the bar/bat mitzvah date.
Summary of Tasks:
Organizational Leadership
- Act as the point of contact for staff and families regarding administrative needs.
Back Office Administration
- Manage and process all back-end aspects of our educational programs.
-eg. calendar, registrations, newsletters, progress reports, logistics, setup, etc.
Communication
- Ensure all educational programs are clearly communicated and parents and staff are informed.
Front Office Responsibilities
- Oversee the front office and support staff during JLC and Sabra sessions.
Qualifications
- Strong computer skills and proficiency in Microsoft Office and Google Suite
- Previous clerical and administrative experience
- Excellent customer service and phone etiquette
- Organizational skills with a focus on time management
- Experience with QuickBooks and multi-line phone systems preferred
- Bilingual candidates are a plus
- Ability to manage calendars and perform data entry tasks efficiently
Job Type: Full-time
Pay: $27.00 - $32.00 per hour
