What are the responsibilities and job description for the Marketing and Admissions Coordinator position at CONGREGATIONAL HOMES INC?
The Marketing and Admissions Coordinator is responsible for coordinating and tracking all applications for marketing and admission to independent living at the Gardens. Works in conjunction with the Marketing and Admissions staff to follow up with prospective applicants. Works closely with Admissions Directors, applicants and current residents to achieve overall goals of the department.
Responsible for coordinating and tracking the move in process for prospective residents related to marketing and admissions at the Gardens. Works in conjunction with the Marketing and Admissions team to follow up with prospective residents. Works simultaneously with the Director of Admissions, ensuring a seamless move in experience to achieve the overall goals of the department. Coordinates with the Director of Marketing on staging and building the waiting list.
RESPONSIBILITIES:
- Develops and maintains all admissions applications files with appropriate documentation, compiles Admissions Report and Population Report in conjunction with the Director of Admissions.
- Conducts consultation meetings with prospective applicants to discuss admissions process and move in paperwork.
- Completes contracts and all signing documents for incoming residents.
- Provides continual assistance and support to applicants with the numerous steps of the marketing, admissions and move-in process.
- Follows up with applicants to provide status reports on their progress and contacts medical facilities to ensure that the required admissions forms and records are completed and submitted expeditiously.
- Reports on status of applicants to Director of Admissions.
- Maintains and updates records for prospective residents and current residents in appropriate databases
- Prepares letters, mailings, and other correspondence necessary for admissions and maintains up-to-date forms, form letters, and other documents as needed. Includes Resident Transfer form.
- Files all new resident documents and maintains their folders in the vault.
- Emails out new resident paperwork to the internal respective parties.
- Prepares summaries of applications and recommendations for presentation to the Admissions Advisory Committee.
- Stages model homes and apartments that are not occupied for marketing to showcase.
- Maintains relationships with prospective residents keeping them informed.
- Tours and informs prospective residents throughout the Gardens.
- Shows units to prospective residents during the application phase of the process.
- Maintains waiting list, ensuring accuracy
- Inputs new resident’s touchpoints, status changes and home assignments in CRM software
- Prepares “welcome bags” for new residents.
- Assist with resident transfer forms and contracts – including community resident contracts as needed.
- Assist the marketing team in coordination of events and executing the marketing plan.
- Have the ability to step in and perform home offers if necessary.
- Practices safe, efficient and cost-conscious work habits.
- Performs other duties as assigned.
