We are seeking a Branch Support Specialist to play a key role in supporting our branch operations. This detail-oriented position involves managing purchase orders and returns, processing invoices, and maintaining an efficient filing system. The role also includes providing backup support to the sales team during peak times.
Key Responsibilities
- Purchase and Transportation Order Management:
- Receive and track purchase and transportation orders.
- Maintain organized records for accurate reconciliation.
- Invoicing and Billing:
- Accurately generate and process invoices.
- Collaborate with the finance team to resolve billing discrepancies.
- Returns Management:
- Handle return processes for purchase and sales orders.
- Ensure proper documentation and adherence to policies.
- Back-Order Shipments:
- Coordinate and manage back-order shipments.
- Communicate with customers about shipment statuses and delays.
- Filing and Record Management:
- Maintain an organized filing system for invoices, receipts, and records.
- Ensure efficient retrieval of documents for audits.
- Sales Team Backup Support:
- Assist with order entry, customer inquiries, and order updates during peak periods.
- Proven experience in administrative roles, preferably in manufacturing, industrial distribution, or a similar environment.
- Strong organizational skills and attention to detail.
- Proficiency in ERP/MRP systems, Microsoft Excel, Word, and PowerPoint.
- Excellent communication skills, both written and verbal.
- Ability to multitask and prioritize in a dynamic setting.
- Familiarity with manufacturing processes and order fulfillment is a plus.
- High school diploma or GED; higher education preferred.
- Prior experience in a similar role.
- Computer literacy and familiarity with database management.
