Job Description: The Administrative Associate will report to the Chief Operating Officer (COO) and serve as a shared resource for the COO, the Senior Contracts Manager, and the Finance group. We are looking for a detail-oriented, organized individual to support efficient office operations. This role involves document management, state and federal contract management, and scheduling and maintaining executive calendars.
As an Administrative Associate, you will:
- Format and manage internal company documentation, including policies and procedures.
- Assist in developing standard processes for contracts management and operational areas.
- Maintain the contract workflow tracker.
- Compile closing documents for state and federal funding.
- Obtain formal signatures on internal and legal documents and organize them in SharePoint.
- Perform general administrative and clerical tasks as needed.
- Schedule and confirm appointments and meetings.
- Organize contract templates within SharePoint.
- Maintain relationships with various internal groups.
- Review work for correct spelling and grammar, adherence to company format policies, and recommend revisions.
- Handle other executive administrative responsibilities as needed.
Required Experience:
- Education & Experience: Associate’s or Bachelor’s Degree preferred, or a high school diploma with 3 years of experience.
Skills:
- Strong customer service skills.
- Excellent written and verbal communication skills.
- Exceptional attention to detail, organizational skills, and commitment to accuracy.
- Proficiency in MS Office suite and ability to learn new systems.
- Flexibility and ability to manage shifting and competing priorities and deadlines.
- Initiative and follow-through while working independently and as part of a team.
- Experience in event planning.
- Must meet ITAR citizenship requirements.
Physical Demands & Work Environment:
- Occasionally move about inside the office.
- Frequently operate a computer.
- Constantly communicate with individuals on various sensitive and legal issues.
- Occasionally travel to business-related sites.
- Ability to read computer screens and printed material.
- Normal office conditions with reasonable workstation flexibility.
- Moderate noise levels (business office with computers and printers, light traffic).
