The Connecticut Center for Advanced Technology, Inc. (CCAT) is an applied technology demonstration and training center that validates, demonstrates, and assists with the adoption of leading-edge technologies into global industrial companies and the advanced manufacturing supply chain, while providing vital workforce training and upskilling necessary for companies to fully utilize the technology advancement. CCAT partners with State and Federal governmental funding agencies such as the DOD, DOE, NASA, SBA and USDOC on technology development and training utilizing government programs and commercial contracts to address military and civilian industrial manufacturing needs, promote clean-tech planning and policy initiatives and enhance workforce skills for technology competitiveness. The current technology focus of the Advanced Technology Centers is on multi-material additive manufacturing technologies, composites, advanced design, automation, metrology, industrial automation, and Industry 4.0 technologies.
Position Title: Administrative Associate
Job Description: The Administrative Associate reports to the Chief Operating Officer and provides high-level administrative support to the COO, ensuring seamless day-to-day operations. This role requires exceptional organizational and administrative skills. The ideal candidate is a detail-oriented and organized individual that will provide efficient office operation support. This role involves a variety of tasks including scheduling and maintaining executive calendars and a focus on records management, document management and control, and processing.
Essential Functions and Responsibilities:
· Format and manage internal company documentation such as policies and procedures
· Assist in the development of standard processes for Operational areas of the business
· Maintain document revision/release tracker
· Performs general administrative and clerical tasks, as needed
· Schedule and confirm appointments and meetings
· Maintain relationships with various internal teams.
· Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.
· A resourceful self-starter who can multitask in a fast-paced environment
· Other duties as assigned
· Support program management office with updates to the CRM
· Will most often assist in the writing or revising and releasing of documents/procedures and maintain status accounting of released documentation
Required Experience:
Education and Experience: Associates Degree or Bachelor’s Degree preferred or high school diploma with 3 years of experience supporting executives or senior leadership.
Demonstrated capability in:
o Strong customer service skills
o Outstanding written and verbal communication skills
o Exceptional attention to detail and commitment to accuracy
o Outstanding organizational skills
o Strong computer skills (proficiency in MS Office suite) and ability to learn new systems such as CRM
o Ability to be flexible and manage shifting and competing priorities and deadlines
o Ability to exercise initiative and follow-through while working independently and as part of a team
o Ability to rely on experience and judgment to plan and accomplish goals
o Significant event planning skills.
o Needs to be a resourceful self-starter who can multitask in a fast-paced environment
o Support program management office with updates to the CRM
o Must fulfill ITAR citizenship requirements.
Physical Demands & Work Environment: This role will be onsite, which will normally be Monday through Friday (including early mornings and/or evenings as necessary). The individual in this position needs to occasionally move about inside the office and frequently operates a computer. The person in this position constantly communicates with individuals on a variety of sensitive and legal issues. Must be able to exchange accurate information in these situations. Occasionally travels to business-related sites. Requires the ability to read computer screens and printed material. Normal conditions with reasonable workstation flexibility. Moderate noise (business office with computers and printers, light traffic).
