Position Summary and Responsibilities
Working from the office in Duluth, GA, the Administrative Assistant is a 12-month employee that provides comprehensive clerical and administrative support to ensure the smooth and efficient operation of the Elementary School. This role works closely with school leadership, faculty, staff, and district office personnel to facilitate daily school functions, manage communications, and assist with operational tasks. The ideal candidate is highly organized, professional, and customer-service oriented.
The Elementary School Administrative Assistant will be responsible for
- Provide general secretarial and administrative support to the principal and school leadership team.
- Perform a variety of clerical duties to support daily school operations.
- Routinely handle internal and external correspondence/communication with discretion and accuracy.
- Answer telephone calls and direct inquiries to the appropriate personnel.
- Assist with school level email inbox, newsletters updates and other communication platforms.
- Schedule and coordinate meetings, take minutes, and distribute correspondence promptly
- Greet and assist visitors, students, staff, and parents with professionalism and courtesy (when attending school level events)
- Maintain a working knowledge of school and district policies, events, and public information to assist faculty, staff, and the public.
- Assist with the preparation and coordination of school audits to ensure compliance and accuracy.
- Prepare and submit purchase orders and work orders for equipment, large batch printing and supplies.
- Assist principal and leadership team in managing staff travel request
- Assist principal in managing school fund balance
- Update IA with purchase requests once approved by the principal
- Maintain school calendars and coordinate scheduling of meetings, appointments, and school activities.
- Manage office reservation requests as needed by school
- Assist the principal in coordinating interviews, scheduling applicants, tracking interview data, and preparing related reports.
- Serve as a liaison between the Elementary School team and the Enrollment Department to ensure effective communication and coordination of enrollment processes.
- Serve as the school’s hospitality coordinator by collaborating with the Engagement Team to plan and organize student field trips, events, meetings, and conferences, while ensuring all safety procedures and district protocols are followed.
- Routinely handle internal and external correspondence with discretion and accuracy.
- Generate reports and prepare documents for school level mail merge projects.
- Attend virtual and in-person department, school or district meetings as required
- All GACA staff must be able to participate in monthly in-person activities including but not limited to:
- School level department meetings,
- Student Engagement Opportunities,
- Required training/development, School-level events
- Attend or support elementary school in office faculty meetings and other elementary school events, such as end-of-year celebrations and school testing.
- Travel may be required.
- Provide support for special projects.
- Perform other duties as assigned by the principal.
Preferred Qualifications
- Associate's degree strongly preferred
- 2-4 years of working in a school or office setting required
- Proficiency with both Microsoft Office tools such as Excel and Google Suite as well as web-based applications is essential.
- Familiarity with information management systems, as well as on-line design and publishing tools.
- Knowledge of expense reports
- Ability to multitask in a fast-paced team environment
- Good interpersonal skills and attention to detail
