Event Planner
Job Summary:
We are seeking a highly organized, motivated, and detail-oriented individual to join our team as an Entry-Level Event Planner (Part-Time). In this role, you will assist in planning, coordinating, and executing events from start to finish. This is a great opportunity for someone looking to gain hands-on experience in the event planning industry while working in a flexible, part-time capacity.
Essential Functions:
- Assist in planning and organizing events, including meetings, conferences, parties, and more.
- Help manage vendor relationships, including catering, decor, audiovisual, and entertainment services.
- Communicate with clients to understand their event needs and expectations.
- Conduct research on venues, vendors, and event suppliers to recommend options to clients.
- Assist with the creation of event timelines, budgets, and checklists.
- Coordinate logistics, including transportation, guest lists, invitations, and RSVP tracking.
- Support the creation and distribution of event invitations and promotional materials.
- Provide on-site support during events, ensuring all details are executed according to plan.
- Respond to client inquiries in a professional and timely manner.
- Monitor event activities and resolve issues as they arise.
- Assist with post-event follow-up and feedback collection from clients.
- Knowledge of nonprofit organizations and fundraising events
- Strong writing and editing skills
- Comfortable handling meticulous work that includes focusing on attention to details
- Listening attentively to customer requests and keeping records of these requests
- Having good knowledge of geographic locations and their main attractions
- Attending and monitoring activities to ensure client satisfaction
Education and Experience
- A high school diploma or equivalent is required; a college degree or coursework in event planning, hospitality, or a related field is a plus.
- Proficient in relevant computer applications such as MS Office, and Google Suite.
- Knowledge of correct spelling, grammar, and punctuation.
- Knowledge of clerical and administrative procedures.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication skills (both written and verbal).
- Confidence in public speaking
- Adheres to the agency's policies and procedures and the Agency code of ethics and complies with the Federal, State, and Agency Mandated Regulations.
- Maintain awareness of HIPPA laws and requirements and maintain strict confidentiality.
Additional Responsibilities:
- Keeps the current Chief Executive Officer informed regarding all plans, activities, projects, etc.
- Performs additional related duties as assigned by the Chief Executive Officer.

Minimum Qualifications:
- In accordance with Federal and the state of Pennsylvania regulations governing facilities/agencies that offer care-dependent services, a facility/agency may not hire an applicant nor retain an employee required to submit a criminal history report if the criminal history report reveals a felony conviction under The Controlled Substance, Drug, Device, and Cosmetic Act or a conviction under any of the Pennsylvania Crime Codes. In addition, any felony offense under Chapter 39, of the Crime Code (relating to theft & related offenses), or two or more misdemeanors under Chapter 39 will prohibit hiring of the applicant or retaining the employee. The agency requires a Criminal Background Check and a Child Abuse History Clearance.
