CQS is currently seeking a full-time Administrative Coordinator to join our team. This position will have a 90-day introductory period before moving to regular employment based on performance.
Responsibilities and duties include but are not limited to the following:
- Provide support in the departments of administration, operations, office management, human resources, and accounting
- Data entry of purchase orders & subcontract agreements for general construction division
- Data entry to maintain the organization of web-based project management software, Procore
- Work on multiple projects simultaneously (such as responding to emails, filling out forms, creating documents and PDFs, pulling and compiling data and reports, entering data online to our project management software, etc.)
- Organize timesheets, expense reports, and other financial documents as needed
- Ordering project materials for general construction division
- Organize and maintain computer-based filing on company server
- Maintain web-based software to collect and review subcontractor certificates of insurance (COIs) for general construction projects
- Filing of project related emails and associated attachments for active general construction projects as directed
- Provide administrative support to the executive team as needed
- Handle all confidential information in a professional and discrete manner
- Serve as the point of contact for coordinating with the outsourced IT company as needed
- Responsible for office management functions such as ordering and maintaining office supplies, uniforms, and refreshments
- Act as the main point of contact for receiving mail and deliveries
- Organize and host company meetings at the office
- Plan and coordinate quarterly employee outings, teambuilding events, happy hours and parties
- Other administrative duties as assigned by the Chief Administrative Officer
Job Qualifications:
- Mandatory minimum of 2 years of working in an administrative role
- Excellent communication skills required, both verbal and written
- Excellent follow-up skills: this position requires fine-tuned follow-up skills and someone with established procedures to support the management team's ongoing initiatives
- Strong ability to multi-task and manage competing priorities
- Proficient in Microsoft Office Suite and comfortable working with multiple software platforms
- Tech-savvy with the ability to quickly learn and adapt to new systems
- Experience with Procore (construction project management software) is highly preferred
- Strong desire to learn and grow your skills
- Self-starter, ability to work with autonomy in a team environment
- Ability to prioritize and proactively anticipate/solve critical issues
- Ability to exercise discretion and maintain confidentiality
- Experience or Interest to grow in the construction or engineering industry preferred
This is a full-time, salaried, exempt position working 40 hours per week.
Must be available to work weekdays during office hours.
This position is in-person at our Greenbelt office.
This role is not available for remote work.
Pay range: $55,000-$70,000 per year based on experience
