What are the responsibilities and job description for the Campus Based Special Education Management System (SEMS)/eSTAR Clerk position at Conroe Independent School District?
Ensure efficient operation of school special education office as well as provide clerical services for school’s assessment specialists/ speech pathologist, 504 Coordinator and LPAC Coordinator, maintains inventory records of special education materials and equipment assigned to the campus.
- Set up, maintain and record all special education/LPAC/504 student information under the direction of the campus assessment specialists/speech pathologist, 504 Coordinator and LPAC Coordinator.
- Maintain current special education/504/LPAC eligibility folders by updating information each time there is a meeting or parent correspondence.
- Gather information from all Admission, Review and Dismissal (ARD), Language Proficiency Assessment Committee (LPAC), Section 504 meetings and proof for completion of parts.
- Schedule, complete and send all required parent notices, and document correspondence in the student eligibility folders.
- Notify all staff of meetings in a timely manner.
- Monitor the dissemination of relevant portions of the plans to required staff and secure documentation of their receipt of the information.
- Copy and send home copies to parents as directed by the assessment specialist/speech pathologist/ 504 Coordinator, LPAC Coordinator.
- Assist central personnel in obtaining information from campus files.
- Maintain current rosters and reports as may be requested in order to aid program management.
- Run PEIMS reports and compares to the system reports to assure accuracy of data in both systems.
- Assists with checking in materials and equipment when they arrive on campus, disseminate the material/equipment to the appropriate staff and maintains records of what the campus has ordered and received.
- Send documentation to the central office special education department verifying receipt of materials.
- Demonstrate dependability and punctuality by exercising regular attendance and promptness.
- Maintain confidentiality of student records.
- Receive incoming calls, take reliable messages, and route to appropriate staff.
- Other duties as assigned.
- One to three years secretarial experience
Education/Certification:
- High school diploma or GED
Special Knowledge/Skills:
- Proficient typing, word processing, and file maintenance skills
- Experience managing SPED records/paperwork
- Effective organizational, communication, and interpersonal skills
- Ability to use personal computer and software to develop spreadsheets, databases, and word processing documents
- Knowledge of the ARD process and its components
Mental Demands/ Physical Demands/Environmental Factors: Ability to communicate effectively (verbal and written); interpret policy, procedures, and data; maintain emotional control under stress. Moderate standing, bending, and stooping. Frequent sitting, typing, and clerical work.
