What are the responsibilities and job description for the P/T Secretary/Administration/Switchboard position at Conroe Independent School District?
Organize and manage the routine work activities of the designated central office administrator and manage the central switchboard/reception desk as needed.
- Prepare electronic correspondence, forms, schedules, or reports.
- Compile pertinent data as needed.
- Assist staff, parents, and community as needed.
- Receive incoming calls, take reliable messages, and route to appropriate staff.
- Maintain physical and computerized files, mailing lists, records, and office communications.
- Update documents as assigned.
- Receive deliveries and direct deliveries.
- Sort, distribute, or deliver mail and other documents.
- Receive, place, and transfer telephone calls.
- Take and deliver messages.
- Act as a goodwill ambassador for the District
- Maintain a sense of humor
- Keep complete up-to-date listing of all extensions and know location of each.
- Give information regarding school calendar, school zones, student admission requirements, and other data.
- Mail or hand out school brochures upon request.
- Perform limited clerical duties to assist persons in other departments in central office.
- Maintain confidentiality of information.
- Demonstrate regular and timely attendance.
- Maintain a welcoming presence as the front reception.
- Other duties as assigned.
- Have a general knowledge of the responsibilities of each department in the District
- Have knowledge of the geographical location of schools and the District in general
Education/Certification:
- High school diploma or GED
Special Knowledge/Skills:
- Demonstrate a pleasant disposition
- Ability to adapt and be flexible
- Proficient typing, word processing, and file maintenance skills
- Ability to receive, place and transfer telephone calls
- Effective organizational, communication, and interpersonal skills
- Basic math skills
- Ability to use a computer and software to develop spreadsheets, databases, and word processing
- Ability to work well with others
EQUIPMENT USED: Telephone, computer, copier, and fax.
