Conscious Healing is seeking a highly motivated and professional Front Desk Staff Member to join our team at our holistic substance abuse treatment facility. As the first point of contact for our clients and visitors, the Front Desk Staff Member will play a vital role in creating a welcoming and supportive environment. We welcome individuals who are passionate about recovery, or those who have been in active recovery for 3 years.
Responsibilities:
- Respond quickly and efficiently to calls on a multi-line system. Direct incoming calls to appropriate colleagues.
- Ensure high quality customer service when responding to inquiries and conducting client follow-up.
- Schedule client appointments using a computerized system.
- Maintain an accurate record of client programming.
- Maintain an accurate daily log of services performed, clients served, and payments accepted and processed.
- Complete initial screenings and schedule intake appointments for incoming clients. Maintain accurate record of scheduled appointments and appointment outcomes.
- Obtain client insurance information and act as liaison for verification of benefit requests.
- Receive and process payment for services in a timely manner.
- Perform accurate daily reconciliation of funds, including separate accounting of cash, checks, and credit card payments received. Provide weekly reconciliation to Director of Operations and Billing Department.
- Provide clients with appropriate documentation, paperwork, and testing supplies to ensure services are delivered in a comprehensive and complete manner.
- Obtain and record client drug screen test results.
- Maintain a clean and organized reception and waiting area.
- Ensure faxes and phone messages are promptly distributed to appropriate persons.
- Collect and distribute mail to appropriate persons.
- Provide timely and professional communication and correspondence to clients and colleagues, in person, in writing, and over the telephone.
- Effectively multitask and prioritize multiple administrative tasks including database management, client chart audits, filing, organization, faxing, research, etc.
- Report low supplies to Operations Manager to ensure timely replenishment.
- Ensure client safety by communicating any unusual observations to the Director of Operations, Executive Director, or CEO.
- Other duties that fall within the scope of this position as required.

Qualifications:
- High school diploma or equivalent
- Prior experience in a front desk or office setting customer service role
- Prior experience in a substance use treatment facility or other healthcare setting is not required, but is a plus
- Excellent communication and interpersonal skills
- Strong prioritization, organization, and multitasking abilities
- Ability to work well in a team-oriented environment
- Basic computer skills, including proficiency in Microsoft Office
We are a growing company, and a qualified candidate will be eligible to move into a full-time Office Manager position within six months of hire! The anticipated schedule for this position is Monday - Thursday from 10am - 6:30pm and Friday from 8:30am - 3:00pm, but will fluctuate to support front desk coverage while other front desk staff are on leave.

Pay: $15.00 - $18.00 per hour
