We are currently seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our leadership team. This role is key to maintaining operational flow, brand presence, and executive efficiency across the organization. The ideal candidate will be confident leading internal meetings, posting on social media, and tracking follow-up tasks after leadership discussions. This position also includes opportunities for professional growth through attending industry events and networking engagements.
Key Responsibilities:
- Provide high-level administrative support to executives, including calendar management, meeting coordination, and travel itinerary preparation.
- Proactively manage and coordinate industry-related travel and convention schedules, ensuring logistics align with company priorities.
- Attend leadership meetings to take thorough notes, track follow-up tasks and deadlines, and support ongoing accountability.
- Lead or present in internal staff meetings and gatherings as needed, helping communicate company goals, updates, and initiatives.
- Assist with planning and logistics for meetings, conferences, and company events-including agenda creation, minutes, follow-ups, and presentation preparation.
- Create and share marketing flyers and branded content on social media platforms to promote events, campaigns, and company highlights throughout the year.
- Track and manage office resources and meeting supplies, including proactive planning for in-office visits, events, and operational needs.
- Research and source trendy, cost-effective company-branded merchandise that aligns with Conser's image and appeals to employees and clients.
- Prepare, collect, and organize documentation for expense reports and other executive administrative needs.
- Register executives for relevant conferences and networking events, supporting their continued professional engagement.
- Serve as a liaison between executives and internal/external stakeholders, ensuring clear communication and timely follow-ups.
- Stay informed of branding and marketing trends to ensure Conser's materials and presence remain modern and effective.
- Travel as needed to attend local and out-of-town industry events and networking opportunities that support business growth and relationship-building.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar support role, preferably in logistics or a related field. Confidence and comfort with public speaking, leading small group meetings, and delivering internal presentations.
- Familiarity with or interest in social media platforms, marketing content creation, and brand management.
- Strong organizational skills, with the ability to manage complex travel, calendars, and project timelines.
- Willingness and flexibility to travel for industry events, both locally and out of town.
- Proactive and resourceful with strong problem-solving abilities and the initiative to anticipate needs.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite and general office management tools.
- Detail-oriented with the ability to multitask in a fast-paced environment.
- Bachelor's degree in Business Administration, Communications, or a related field is preferred but not required. (preferred but not required).
