Position Overview
We are seeking an experienced Contract Administrator to join our dynamic team and manage all administrative aspects of multiple construction projects from start to finish. This role requires a detail-oriented professional who can effectively oversee complex contractual relationships while ensuring alignment with both client requirements and company objectives. The position involves managing contract documentation, procurement, and administrative processes throughout the entire project lifecycle, requiring exceptional organizational abilities and the capacity to handle concurrent priorities efficiently through modern software systems.
The projects primarily focus on Landscape Construction, Erosion Control, Land Reclamation and Retaining Walls, offering opportunities to work on diverse and challenging environmental initiatives. Our portfolio encompasses both public and private sector projects, ranging from small-scale developments to large commercial installations. Furthermore, the successful candidate will play a crucial role in maintaining project timelines, budgets, and quality standards while fostering positive relationships with contractors, suppliers, and stakeholders.
Key Responsibilities
- Establish and maintain project contract files and documentation in company established systems
- Configure and establish projects within the company's Enterprise Resource Planning (ERP) systems.
- Review and process change orders, and amendments
- Manage the submittal process, including tracking, distribution, and status updates
- Coordinate and manage purchasing activities effectively among operations team, vendors and subcontractors
- Monitor, track and report project costs and profitability metrics.
- Monitor and analyze daily operational reports, then communicate potential issues and concerns to the project manager.
- Support Project Manager in maintaining and tracking project schedules and milestones effectively
- Support the project manager with processing and monitoring payment applications and invoices
- Coordinate with project managers on contract-related issues
- Oversee project close-out documentation and final payments
Required Qualifications
- Preferred - Bachelor's degree in Construction Management, Business Administration, or a related field
- Experience in Contracts in construction industry
- Proficient in construction management software and Microsoft Office Suite
- Strong understanding of construction contracts and documentation
- Experience with procurement and vendor management
- Knowledge of construction industry standards and regulations
