The Office Coordinator is responsible for overseeing the daily operations of the Construction Management and Development, Inc. Honolulu office environment, ensuring everything runs smoothly and efficiently. They will ensure office operations and procedures are organized, correspondence is controlled, filing systems are maintained, supply requisitions are reviewed and approved, and clerical functions are properly completed. They are the point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands. The Office Coordinator reports directly to the Director and Executive in the office.
Duties and Responsibilities
- Serve as the first point of contact for visitors, clients, and staff, providing professional and courteous service
- Handle office correspondence (phone calls, emails, and letters)
- Ensure the office environment is organized, clean, and conducive to productivity
- Calendar management, accounting for daytoday meeting organizing, calls, and movements, including scheduling, sending reminders, and organizing catering when necessary
- Manage daytoday office operations, including organizing and maintaining office supplies and equipment ensuring that all items are invoiced and paid on time
- Coordinate with external vendors and service providers for office supplies, office equipment, maintenance, and other requirements
- Assist office staff and management with administrative tasks such as data entry, filing, and document preparation
- Ensure the office space is maintained and any issues are promptly addressed
- Provides complex problemsolving skills to resolve design, construction, budgetary, and schedule related issues
- Composes and types correspondence to include letters, memos, forms, minutes, proposals, etc.
- Interacts with a diverse group of external and internal contacts at all levels
- Uses independent judgment to plan, prioritize and organize a diversified workload
- Receives and distributes project correspondence, drawings, and other project records and documents
- Maintains project files
- Maintains logs for RFI’s, submittals, substitution requests, contracts, change proposals, and change orders
- Arranges project meetings
- Records discussions at meetings and prepares, distributes, and maintains project meeting minutes
Requirements
- A minimum of a bachelor’s degree is required, preferred in Architecture, Engineering, Business Administration or Construction Management.
- Previous experience in the construction industry is preferred.
- Ability to prioritize tasks and manage time effectively.
- Strong attention to detail and problemsolving skills.
- Must have excellent communication skills, both oral and written; be computer literate and capable of using MS Office 365, Microsoft Project, Adobe Cloud, Internet and Email.
- Must be highly proficient in MS Word, Excel, and Adobe Acrobat Pro.
Schedule: Monday to Friday, In-Office

Salary: $45,000.00 - $55,000.00 per year
