JOB DESCRIPTION:
Document Specialists meticulously organize and categorize both incoming and outgoing documents through several mediums. Specialists' pivotal role in our internal processes involves seamless collaboration with various departments, ensuring all appropriate actions are taken, often operating within stringent timelines. The team’s focus lies in keeping clients' files current and promptly reviewing time-sensitive documents, with a primary emphasis on legal documents.
Responsibilities:
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Predictability, reliability, and punctuality is an essential function of the job role.
- Organize and categorize documents through various mediums, ensuring easy access and retrieval
- Assist and communicate effectively with: various people in the organization including Attorneys, colleagues, senior management, etc.
- Demonstrate strong comprehension skills to understand complex documents and identify key information
- Manage time efficiently to meet deadlines and prioritize tasks
- Commitment to documenting detailed notations
- Effectively solving problems as they arise
- Collaborate with supervisors and teammates on all aspects of work
- Communicate cross-functionally between different departments
- Maintain and update client files, focusing on time-sensitive legal documents
- Demonstrate a proactive approach to identifying challenges
- Attend relevant training sessions to enhance professional knowledge and skills
- Attend scheduled team meetings & regularly touch base with manager
Minimum Requirements:
- BS/BA degree or 1-2 years relevant work experience
- Ability to comprehend, decipher, categorize and organize information
- Prolonged periods of concentration and focus required
- Adapt to changes and updates in process adjustments
- Excellent professional written and verbal communication skills
- Meet quotas set for the team
- Proficiency in CRM; Ability to comfortably navigate Google Suite Programs (Google Docs, Slides, Sheets, & Forms); Strong organizational skills
