JOB POSITION: Accountant’s Executive Assistant
REPORT TO: SrAccountant Manager
WORK LOCATION: In person / In office
JOB PURPOSE
- Support and assist the accountant manager with daily tasks.
- Receive, process, manage and file paperwork.
- Attend to clients via email, phone calls, and in person.
- Use our CRM software as the primary tool to manage clients and related services.
SKILLS AND QUALIFICATIONS
- Bachelor’s degree or equivalent.
- One Year of experience as accountant/ financial specialist or a related field.
- Must be analytical and resourceful.
- Excellent written and verbal communication skills.
- Must have the ability to work independently and as part of a team.
- English is desired, Spanish is a must.
- Above-average time management skills.
- Great Interpersonal skills.
- Attention to detail and organization are critical to this role.
- Excellent organizational and analytical skills, multitasking skills, and priority criteria.
- Be proactive and self-driven to fulfill all job responsibilities without close supervision.
- Customer Service orientation.
- Ability to multitask and perform duties outside the scope of work when necessary.
- Proficient in Microsoft Office and Teams Environment.
RESPONSIBILITIES AND SPECIFIC DUTIES
1. Serve as liaison between clients and the accountant manager. This includes receiving and screening phone calls and visitors, answering with tact and diplomacy, taking messages, and directing calls appropriately.
2. Coordinate work with other staff as needed.
3. Make calls to government governmental offices.
4. Maintain active communication with corporate departments.
5. Prepare and maintain tasks and database report.
6. Provide constant feedback to the accountants and sales team, ensuring internal communication for a more efficient process.
7. Maintain the confidentiality of company and client information in accordance with established policies.
10. Perform other duties and special projects as assigned by the department head.
11. Customer service: This position requires direct communication with clients.
12. Schedule meetings and send emails.
13. Handle printing, faxing, mailing, copying, scanning, filing, and emailing documents.
14. Compose and prepare letters.
15. Impeccable use of our CRM software to place orders, apply payments, complete projects and document interactions.
16. Follow up with actions, services and leads.
17. Maintain the confidentiality of company and client information in accordance with established policies.
18. Perform other duties and special projects as assigned by the department head.
19. Determine priority of matters of attention for the accountant manager; redirect matters to staff to handle, or handle matters personally, as appropriate.
20. Some accounting task will be required
WORKDAY:
Monday to Friday
9:30 am - 5:30 pm
* It may be necessary to work longer hours during tax season.
