Compensation :
55,000 - $60,000 annually, commensurate with experience and qualifications.
Work Schedule :
Full-time, 40 hours per week.
Key Responsibilities of the Accounts Payable Specialist :
Process and enter all subcontractor and vendor invoices promptly and accurately.
Reconcile subcontractor invoices with projects and contracts.
Code and enter credit card statements.
Review invoices for accuracy, assign appropriate codes, and route for approval.
Maintain insurance records and ensure subcontractor compliance.
Reconcile billing statements, address vendor inquiries, and resolve discrepancies.
Communicate with vendors regarding invoices, waivers, and insurance certificates
Continuously improve the accounts payable process for accuracy and efficiency.
Track vendor and subcontractor compliance, ensuring up-to-date licenses and insurance.
Enter project budgets and approved change orders into accounting and project management systems.
Maintain accurate records of subcontracts and change orders in accounting software.
Upload and manage insurance certificates in project management software.
Qualifications and Skills for the Accounts Payable Specialist :
Minimum of 2 years in accounts payable
Knowledge of AIA billing format
Strong accuracy in job-related invoice coding and subcontractor insurance updates.
Ability to work independently, meet deadlines, and manage multiple tasks efficiently.
Excellent verbal and written communication with strong interpersonal skills.
