Job Description
Job Title: Administrative Assistant
Department: Administrative
Reports to: Office Manager
Job Qualifications:

- Excellent customer/supplier interface skills
Responsibilities / Essential Functions:
- Maintain customer profiles in Job Boss, i.e. shipping information, special requirements, credit card information & export documentation information.
- Maintain customer credit card information sheets.
- Process Packing Lists and Sales Orders. Prepare Certificates of Conformance for material, chemical or testing certificates, when required. Provide weights, insurance amounts, bar codes and labels to shippers. Schedule trucks for pickups.
- Create an “ASN” and invoice through a customer portal, when necessary. Schedule an “RFQ” for Quality Control, when requested.
- Process customer invoices. Fax or e-mail tracking numbers and invoices, as requested.
- Process Government orders. Review contracts for special requirements. Process through appropriate portals. Create paperwork for shipping and invoicing. Distribute accordingly.
- Find best rates for prepaid truck shipments. Verify rates on freight invoices. File claims, when necessary. Meet with freight representatives.
- Maintain export compliance program. Maintain foreign customer export forms, NAFTA and Certificate of Origin forms, and invoice copies of shipped export orders. Prepare export documents and commercial invoices for international shipments.
- Maintain visitor log book. Ensure that all visitors sign in and are given appropriate visitor badge.
- Create Sales Orders for future shipments.
- Create proforma invoices, when required.
- Prepare outgoing mail for pickup. Open and distribute incoming mail. Monitor postage meter and supplies. Prepare mailings to outside sales representatives once a week.
- Purchase maintenance parts/supplies and office supplies. Obtain quotes, as required. Follow up on PO’s, returns and credits. Take weekly inventory of office supplies, and order and organize supplies as needed. Obtain quotes and purchase materials for customer jobs, when required.
- Prepare tags & labels for jobs.
- Obtain and print standards and specifications, as required.
- Answer incoming calls, greet visitors and screen job applicants. Set up interviews for new hires and forward letters of non-hire as requested by management.
- Operate basic office equipment such as photocopier, fax machine, and computer.
- File in alphanumeric order and locate material from files.
- This administrative position requires the following physical abilities:
- Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
- Sitting in a normal seated position for extended periods of time.
- Knowledge that Continental Cable is an ISO/AS certified company and understands the Quality Policy.
- Maintain a safe work environment at all times and follow all Continental Cable safety policies including safety glasses, work shoes and all required personal protection equipment.
- Perform all other duties as may be assigned.
Job Type: Full-time
Pay: From $18.00 per hour
