Talent Acquisition Representative/HR Administrative Assistant

Position Summary:  

The Talent Acquisition Representative assists the Talent Acquisition team members with the administration of the day-to-day operation of the recruitment functions and duties.   Provides support for the recruitment life cycle.

 

Essential Duties & Responsibilities:

  • Responsible for the background, conflict of interest and reference checks process and follow-up for the team.  Initiates checks and verifies results.
  • Assist with screening resumes and speaking with applicants.
  • Gather, proofread and process pre- and post-hire documentation including I-9s, E-Verify, policies and clearance paperwork.
  •  Represents ConServe at Recruiting events and company events.
  • Create and maintain employee records in Human Resources Information System database.        Provide accurate and timely input of applicant and employee information.
  • Ensure efficient filing of applicant and employee records and assist with employee recordkeeping maintenance.  
  • Audit applicant and employee files and Human Resource procedures for compliance.
  • Types, generates and proofreads letters, reports, memos, presentations and statistical charts.  Independently composes correspondence related to responsibilities assigned.
  • Handle communication with candidates as necessary to include but not limited to generation of fax reference verifications, written correspondence, screen resumes, phone screen candidates and schedule interviews and assist with coordination of recruitment activities.
  • Assist with generation, maintenance and tracking of advertising and promotional material.
  • General office duties such as filing, faxing, printing, emailing and copying.
  • Assist with the day-to-day efficient operation of the Human Resources Department and Human Resources projects.
  • Adherence to ConServe’s Professional Practices Management System (PPMS), Code of Conduct,  and Compliance Program


Non-Essential Duties & Responsibilities:

Education: 

  • High School Diploma or GED
  • Associates Degree in HR, Business or related field or equivalent combination of education and experience preferred


Skills/ Requirements:

  • Experience with Human Resources Information Systems data entry, and Human Resource, Talent Acquisition support experience preferred
  • Minimum of one year of Office Administration Support experience 
  • Strong attention to detail and proofreading skills
  • Accurate data entry skills
  • Must have proficiency with MS Office applications, including Microsoft Word, e-mail, Excel and Power Point.  
  • Strong written and verbal communication skills
  • Professional demeanor with team-oriented attitude
  • Excellent organizational skills
  • Ability to multi-task in a timely and effective manner in a fast paced environment
  • Ability to work overtime
  • Ability to work in the Fairport, NY Office as needed (resides in the Rochester, NY area) preferred.
  • Ability to obtain and maintain Government Security Clearance
  • Ability to travel between ConServe’s offices as needed
  • The ability to telework. A teleworker is defined as an employee who works for ConServe from a home, or other remote office, for all of the regularly scheduled work week. A teleworker uses telecommunication technologies, including, but not limited to, soft telephones, virtual facsimiles, computers, electronic mail, and remote Internet connections to access work remotely on a pre-determined basis 
  • A secure internet connection, to plug in ConServe equipment into a hardline Ethernet port
  • A private work area in which work activities can be conducted
  • US Citizen or Lawful Permanent Resident Alien with three or more years of U.S. residency from date of legal entry into U.S
  • No conflicts of interest with ConServe or our Clients

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job except for periodic breaks pursuant to applicable law.

 

  • Occasionally lift and/or move up to 25 pounds. 
  • Ability to sit or remain sedentary for your entire work shift (8, 9, or 10 hour shift)
  • Ability to talk and listen on a phone for your entire work shift (8, 9, or 10 hour shift)
  • Ability to type on a computer for your entire work shift (8, 9, or 10 hour shift)
