Contra Costa Health Services Department :

Join our team as an Administrative Aide, where you'll play a pivotal role in supporting administrative staff. We are looking for people who can gather and scrutinize data, tackle focused projects with minimal guidance, and actively contribute to special assignments and projects. Crafting instructive materials and protocols will also be a key aspect of your role. To be successful in this role, you will need to collaborate with stakeholders in and outside of our division to get the information you need.

What you will typically be responsible for :

  • Gathering, organizing, and analyzing data.
  • Participating in special assignments and completing long-term projects which include processing administrative transactions
  • Providing direct support to administrative supervisors.
  • Learn, implement, and train others on data-tracking systems
  • Entering and maintaining data or other information in a computer database.
  • General office duties such as typing, scanning, proofreading, filing, and email correspondence.

    Minimum Qualifications

    Education : Successful completion of at least 60 semester or 90 quarter units from an accredited college or university which included one (1) class in each of the following areas : English Composition; Business or Public Administration, Political Science or Government; Mathematics or Statistics; and Psychology or Behavioral Sciences.

    Substitution : Full-time (or the equivalent of full-time) experience in an administrative or staff capacity performing administrative, personnel or budgetary analysis which included the research, analysis and preparation of written reports and recommendations may be substituted for the required education on a year-for-year basis to a maximum of two (2) years.

    Desirable Qualifications :

  • Experience using Microsoft Teams, Zoom, Excel and Office 365.
  • Experience working on multiple projects simultaneously.
  • Experience in public health administration
  • Experience working with senior leadership
  • Selection Process

  • Application Filing and Evaluation : Applicants will be required to complete a supplemental questionnaire at the time of application, applications will be evaluated to determine which candidates will move forward in the next phase of the recruitment process.
  • Administrative Analyst Core Multiple Choice Assessment : Candidates who possess the minimum qualifications will be invited to participate in the Administrative Analyst Core Multiple Choice Assessment. The multiple-choice assessment will be administered via a web-based platform. The multiple-choice assessment will measure candidates' competencies as they relate to Administrative Aide. These may include but are not limited to : analyzing & interpreting data, critical thinking, fact-finding, mathematical facility, reading comprehension, attention to detail, and writing. (Weight 100%)
  • Final Selection Interviews : Will be scheduled by the department once the eligible list is established.
  • If you applied for another recruitment that uses this exam and the test is scheduled within 6 months of the date you took the test, you will not have the option to re-take the exam.

    TENTATIVE DATES : The Administrative Analyst Core Multiple Choice Assessment is tentatively scheduled to take place via computer (remotely) March 26 - March 31, 2025
