We are looking for a proactive and detail-driven Project Coordinator to join our HVAC and Building Automation team. In this role, you will support the successful execution of projects by coordinating schedules, managing submittals, and ensuring timely communication between internal departments, contractors, and customers. Your contributions will directly impact the efficiency and success of HVAC system installations and building automation controls projects.
Key Responsibilities:
- Update Milestone Job Sheet with accurate HRS | % Complete | Key Dates to maintain visibility across project stages.
- Request Project Platform Access for internal staff and subcontractors to ensure timely onboarding and collaboration.
- Request and maintain project schedules, keeping all stakeholders aligned and informed.
- Submit and track Equipment Submittal Requests, including mechanical equipment and control components.
- Ensure accurate NS (Network Server) Data Population for proper device mapping and system integration.
- Assist with RFI (Request for Information) generation to resolve design discrepancies and field questions.
- Coordinate security/access to buildings for field technicians, subcontractors, and commissioning agents.
- Send CSC (Controls Submittal Checklist) submittals to customers and contractors for review and approval.
- Release VAV controllers by submitting the VAV Box Form, confirming box readiness for control installation.
- Communicate with the Parts Department to track order statuses and expedite delivery of HVAC components.
- Coordinate Mechanical Equipment Startup with the Mechanical Contractor (MC) to ensure systems are ready for commissioning.
- Organize and schedule customer training sessions to review HVAC system functionality and control interfaces.
- Deliver final CSC O&M (Operations & Maintenance) manuals to customers and contractors.
- Provide warranty letters to customers when applicable, outlining coverage and contact details.
Qualifications:
- 2 years of experience in a project coordination or administrative role, preferably in HVAC, construction, or building automation.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Familiarity with HVAC systems, mechanical equipment, and controls is highly preferred.
- Proficient in Microsoft Office (Excel, Outlook, Word); experience with project management software is a plus.
- Excellent written and verbal communication skills.
- Ability to collaborate with cross-functional teams including engineering, field technicians, sales, and vendors.
