What You’ll Do - Responsibilities:
Project Coordination & Documentation
- Participate in job turnover meetings to collect necessary project details.
- Book jobs, track updates, and maintain job summaries in QuickBooks and service software.
- Review contracts and ensure compliance with booking, insurance, and regulatory requirements.
- Process change orders, invoices, and certified payroll reports for construction markets.
- Maintain accurate job records, permits, subcontractor documents, and compliance logs.
Administrative & Operational Support
- Manage purchase orders, order acknowledgments, and expense reports.
- Ensure timekeeping accuracy for field technicians and engineers, reviewing job classifications.
- Assist with job close-outs, warranty letters, and final project documentation.
- Support staff scheduling and travel arrangements (flights, hotels, rental cars).
- Prepare operations and maintenance manuals, subcontract agreements, and required paperwork.
Communication & Compliance
- Serve as a primary point of contact for administrative requests.
- Coordinate with project managers, vendors, and subcontractors to ensure project efficiency.
- Process electrical and mechanical permits and maintain regulatory compliance records.
- Ensure secure handling of financial transactions, including credit card payments.

- Technical Proficiency: You’re experienced with Microsoft Office (Excel, Word, Outlook), QuickBooks, and database management.
- Clear & Professional Communication: You have excellent written and verbal communication skills and ensure clarity in documentation.

- Commitment to Accuracy: You understand the importance of meticulous record-keeping, compliance, and financial accountability.
Your Qualifications
- Experience in administrative, office, or construction-related roles (preferred).
- Proficiency in QuickBooks, Microsoft Office Suite, and document management systems.
- Familiarity with construction processes, regulatory compliance, or bookkeeping is a plus.
