What are the responsibilities and job description for the Construction Project Coordinator position at Control Technologies, Inc.?
Summary of Position
The Construction Project Coordinator works closely with the Construction Operations and Project Managers to ensure the highest level of customer satisfaction. In this role, you will be an integral team member who communicates daily with project managers, installation technicians and our customers while following best practices to coordinate our construction operations business. Ability to work effectively in a team, excellent verbal and written communication skills, attention to detail and knowledge of accounting systems are essential to be successful in this role.
Responsibilities and Duties
- Communicate promptly with customers, contractors and employees. Follow up on all details of projects
- Ensure weekly timesheets are complete and accurate prior to invoicing
- Maintain accurate customer account and construction site information and job files
- Organize and participate in meetings to ensure deadlines for projects are met
- Gather information and resources to implement work schedules for upcoming projects
- Coordinate and track training for field technicians
- Assist with collections over 60 days past-due
- Support field technicians and construction sales as needed
- Follow up with customers on billing inquiries, general questions and satisfaction surveys
- Work with Project Managers to do monthly job billings
- Assist Project Management in recognizing change order opportunities and issues in the field and issues with drawings. Alert the General Contractor, Sub-Contractors & Consulting Engineers for request of change
- Assist in gathering all information for proposed change orders and submit information to sales/estimating team for pricing
- Meet with the Operations Manager on a weekly basis for project management issues, design issues, contractor issues, job cost review, standardization issues, training and safety requirements and any job and non-job issues
- Assist with managing job schedules in Microsoft Project
- Work with the Project Manager to ensure materials are ordered for jobs
- Get submittals to Engineering
- Collect O&Ms and any documentation in order to close out a job
- Approve PTO and Reimbursement requests
- Attend job meetings when required
- Help on site with minimal tasks as needed
- Work closely with teams on workforce requests and create weekly work schedules for the field installers.
- Provide the Operations Team with ideas for standardization and strive for more efficient processes
- Support corporate objectives including standardization of procedures and practices
- Assist in managing field staff and sub-contractors
- Assist with various administrative tasks and special projects as needed
Qualifications
- B.S. degree, or equivalent experience (Recommended)
- Must have HVAC and/or Industrial system knowledge (Recommended)
- High level of commitment to internal and external customer service
- Highly organized and detail oriented
- Excellent written and verbal communication
- Able to adapt and keep pace with a rapidly growing organization
- Excellent time management skills and able to juggle multiple priorities
- Strong PC and data entry skills including working with accounting systems
- Ability to think outside the box and develop creative solutions to benefit the organization
- Enthusiasm to collaborate in a team environment with a positive attitude and levelheaded approach towards everything is a must
- Ability to work independently with limited supervision
