POSITION SUMMARY
The Project Coordinator will work directly with Team Leaders, Project Managers, Technical Staff, and Clients to ensure the smooth scheduling and delivery tracking of all client-facing projects throughout our organization. As this is a fast-paced, detail-oriented position, you must be comfortable working with people at all technical skill levels, and on tight deadlines. The Project Coordinator is our clients main point of contact for project engagements and will spend the majority of their time dedicated to managing timelines, expectations and resources. WHAT DOES OUR PROJECT COORDINATOR DO?
- Project Coordinators work alongside Project Managers and other stakeholders to arrange the logistics of a client-facing project. They will work with team members to create a project timeline, set goals, ensure that our Project Management Software (ConnectWise Manage) is appropriately updated and ensure that customer expectations are met on time and on budget.
- Facilitate the project plan; defining project scope, objectives, risks, assumptions, roles and responsibilities, work breakdown structure, milestones and deliverables.
- Organize, attend, and participate in stakeholder meetings.
- Document and follow up on important actions and decisions from meetings and preparing necessary presentation materials for meetings.
- Communicate regularly with the client to ensure a common understanding of project status and address issues promptly and adequately.
- Work with Team Leads and Project Managers to complete project deadlines.
- Identify areas for improvement and make constructive suggestions for change.
- Ensure that projects adhere to frameworks (where applicable), and all documentation is maintained appropriately for each project.
- Create and maintain a project management calendar for fulfilling the goals and objectives of each project.
- Develop an understanding of project scopes and particulars (i.e., timeframes, financials, etc.) for projects on our project catalog.
- Work with other team members to define and refine formal escalation and review processes for our entire project lifecycle.
- Create projects in our Project Management Software, including setting up project phases and tickets and creating/refining project templates for our project catalog.
- Close all projects once they are complete. Verify that all project objectives are complete and that the project finance settings are correct.
WHAT ARE THE QUALIFICATIONS I NEED TO HAVE?
- High school diploma or equivalent.
- 2 years of relevant experience, which may include Project Coordination, Project Management, or Project Administration.
- Exceptional verbal, written, and presentation skills.

- Experience using Microsoft Office products such as Outlook, Word, Excel, and PowerPoint.
- Basic understanding of project management methodology, including setting and reviewing milestones and understanding project lifecycle workflow.
- Ability to read and disseminate a Project Scope Document and can convert the relevant information into Project Phases and Milestones.
- A conceptual understanding of Business Finance as it relates to Project Budgeting.
WHAT QUALIFICATIONS WOULD REALLY HELP SET ME APART FROM OTHER APPLICANTS?
- Project Management Professional (PMP) certification.
- ITIL certification.
- Associates degree or higher.
- Understanding of, and a background in working within the IT managed services provider business model, particularly in an IT support role.
- Experience with ConnectWise, Kaseya, or other similar MSP tools and software.
- Knowledge and experience working with Microsoft Office 365, Microsoft Azure and other Cloud service offerings.
- Flexibility in your schedule to handle the occasional non-business hours tasks.
- An awareness of all our key IT services
WHAT IS THE WORK ENVIRONMENT LIKE?
- Normal office working conditions. Work requires regular sitting/standing at a desk, working with a computer. This position requires standing, walking, sitting, using hands, seeing, reaching, talking, writing, and hearing; it may require
- occasionally carrying or lifting equipment (10-50 pounds) if working on-site.
- Position may require hours that exceed normal working hours per day during peak periods; on-call hours may include nights or weekends.
- Position requires contact with others - in meetings, by phone or by email. Interactions focus on data collection, problem solving, needs analysis and technical work. Interactions are initiated in person or electronically.
