Ministry Function
The Disaster Services Deployment Support Manager supports the ministry of Convoy of Hope and the Disaster Services Team by ensuring the team is always ready for new and ongoing responses. This position works closely with DS Response Managers to ensure responses run smoothly and all the necessary resources are ready for deployment. This position is considered deployable, as needed, and will serve in the Disaster Operations Center during active responses.
Essential Duties & Responsibilities
- Works closely with both International Response and U.S. Response to prepare team members for deployments. Deploys to the field when needed.
- Manages the upkeep and maintenance of all response-related deployment gear and provides oversight to the deployment gear assignment process. Ensures gear returns to inventory once a deployment is complete and ensures all equipment is always kept up to date and ready for service.
- Works with Disaster Services Response Managers to develop response plans for submission.
- Coordinates and prepares travel arrangements for deployment of personnel.
- Coordinates with the Operations Support Manager and/or Response Managers to ensure all response budgets are kept current. Submits purchase orders related to ongoing responses as required.
- Collects statistics and talking points for ongoing responses. Keeps reporting platforms up to date with the latest response-related information.
- Assists with expense reporting, calendar scheduling, meeting planning, and team communications as needed.
- Works with Response Managers to collect pictures, videos, and stories from the field. Coordinates with Convoy of Hope’s Marketing & Communications Team to provide updates related to ongoing responses.
- Works closely with the Disaster Services Volunteer Manager to help organize any volunteer activity that may be needed in deployments. This may include lead volunteers and/or daily volunteers.
- As a member of the Program Team, supports other programs as assigned.
- Fulfills all other duties as assigned.
Required Knowledge, Skills & Abilities
- A bachelor’s degree in a related field is preferred. A high school diploma or equivalent is required.
- Three or more years of experience in office administration and/or related disaster work is required.
- Is able and willing to deploy as required.
- Demonstrates ability to positively contribute to team projects, cooperate with team members, and assist supervisors with planning and evaluation.
- Displays excellent interpersonal communication skills, mediation skills, and tact.
- Displays excellent verbal and written communication skills for creating, editing, and proofreading correspondence.
- Possesses strong organizational and problem-solving skills, detail orientation, and the ability to multitask and manage deadlines.
- Possesses ability to use PC and/or Mac software programs, including Microsoft Office Suite, Google Workspace, Salesforce, and Monday.com.
- Is at least 25 years of age and able to obtain a Class E driver’s license.
- Has or can obtain “ServSafe Food Handler” certification within six months of employment.
- Has or can obtain applicable Forklift Certification within six months of employment.
- Has or can obtain CPR/AED/Basic First Aid certification within six months of employment.
- Can complete required FEMA and NIMS courses prior to employment or within one year of employment.
- Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization’s religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
Supervisory Responsibilities
This position may directly supervise team members and volunteers.
