What are the responsibilities and job description for the Fulfillment Coordinator position at Convoy of Hope?
Ministry Function:
The Fulfillment Coordinator supports the ministry of Convoy of Hope (COH) by working alongside the Fulfillment Manager and Distribution Director for inventory management for all outbound gifts in kind (GIK): including COH program initiatives and strategic partner agencies.
Essential Duties and Responsibilities:
- Assist in the oversight to identify new strategic partners.
- Maintain the master list and digital file for strategic partner applications.
- Maintain a master list of approved strategic partner agencies.
- Organize and create US Program orders.
- Provide support in creating and placing loads for COH Programs and strategic partner relationships.
- Field calls and email correspondence for product requests from strategic partner agencies.
- Responsible for obtaining all necessary logistics information, completing the necessary paperwork, selecting loads, confirming proper delivery of the product, and assist in tracking bills of lading for third-party shipments.
- Manage GIK reports including donor, distribution and end-use product reports.
- Assist with weekly and monthly reporting of key data as defined to the Distribution Director.
- Work in conjunction with the Fulfillment Manager and the Inventory Manager in conducting weekly warehouse cycle counts.
- All other duties as assigned.
Required, Knowledge, Skills, and Abilities:
- Bachelor’s degree in business or related field preferred; High School diploma or equivalent required.
- 5 years’ experience in the management of processes, product, inventory or people.
- Ability to vet and cultivate new partnerships.
- Proficient in the use of Microsoft Excel and working knowledge of Word and PowerPoint. Experience with Warehouse Management Systems a plus.
- Excellent phone skills with strong interpersonal communication and relational skills.
- Ability to positively contribute to team projects, cooperate with team members and assist supervisors in planning and evaluation.
- Proven leadership and motivational skills and the ability to independently make decisions.
- Excellent written communication skills for creating, editing and proofreading correspondence.
- Ability and willingness to travel domestically and internationally required on an infrequent basis.
- Strong organizational skills with detail orientation and follow-through required.
- Ability to multi-task, solve problems and manage deadlines.
- Demonstrated skills in sound judgment, compliance, relationship-building, organization/structure and development of processes.
- Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serve as an advocate for the ministry, striving to nurture, broaden and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Ability to positively represent the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.

Supervisory Responsibilities: No direct reports at this time.
