What are the responsibilities and job description for the Global Security Administrative Coordinator position at Convoy of Hope?
Ministry Function:
The Administrative Coordinator supports the ministry of Convoy of Hope by providing administrative support to the Senior Director of Global Security, including office operations while assisting the Global Security team.
Essential Duties and Responsibilities:
- Provides support on behalf of the Senior Director of Global Security by providing assistance with assigned projects, assuring deadlines are met and collaborating with appropriate team members.
- Assists leaders with information for decision-making, communications, and assuring they can obtain necessary resources or information in a timely fashion.
- Serve as communications lead to ensure information shared is vetted and properly accounted for within the Security Team and organization wide.
- Coordinates, updates and finalizes reports, stats and calendars for the Senior Director of Global Security.
- Coordinates trips and travel arrangements for the Senior Director of Global Security.
- Assists with coordination of expense reporting for the Global Security team.
- Plans, coordinates and assists in event planning, catering, presentation materials and providing for the needs of the attendees.
- Provides administrative support to the Senior Director of Global Security relating to daily activity and workflow as requested.
- Compiles and analyzes data for the Security team (i.e. incident trends, international statistics, monthly tracking).
- All other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Bachelor’s degree preferred; High School diploma or equivalent required.
- 2 years experience in compassion ministry preferred.
- 2 years office experience preferred.
- Ability to compile and provide basic analysis of data managed by the group.
- Ability to use Mac/PC software programs, including but not limited to G-mail, Microsoft Word, PowerPoint and Excel proficiently.
- Excellent verbal and written communication skills for conveying the program work of CoH within the organization, partners, and target audience.
- Strong organizational skills and ability to handle concurrent, multiple job tasks.
- Excellent interpersonal communication and relational skills.
- Ability to work at a fast pace.
- Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serve as an advocate for the ministry, striving to nurture, broaden and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Ability to positively represent the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that each staff member embraces the organization's religious purposes for which it exists and not only agrees with its Statement of Faith but demonstrates it in their lives on an ongoing basis.
