Ministry Function
The Hospitality & Guest Relations Coordinator supports the ministry of Convoy of Hope by providing support to the Hospitality & Guest Relations Director in several administrative support functions. This role includes assisting with logistical details, correspondence, general communication, and functional support of activities as assigned.
Essential Duties & Responsibilities
- Assists with the daily operations of Guest Relations, which includes managing emails, tracking expenses, coordinating meetings and appointments, screening calls and correspondence, running errands, assisting with signage or logistics, and event preparation as assigned.
- Provides administrative support to the Hospitality & Guest Relations Director by assisting with paperwork, team office supply management, mailing packages, etc.
- Provides onsite support and coordination during events, as requested.
- Cultivates strong relationships across working groups and assists in collaboration with them for a cohesive event.
- Serves as a liaison for internal teams, vendors, and contractors to ensure timely completion of projects.
- Assists with final technical checks on event day to ensure Convoy standards are met.
- Collaborates with the Hospitality & Guest Relations Director to create needed procedures, systems, training, and documentation for Convoy of Hope.
- Acts as backup barista in the Hope Supply Co. Coffee Shop, as needed.
- Keeps all information confidential and operates at the highest level of integrity.
- Performs all other duties as assigned.
Required Knowledge, Skills & Abilities
- A high school diploma or equivalent is required.
- Two or more years of experience with customer service is required.
- Possesses excellent written and verbal communication skills.
- Demonstrates they are a professional, resourceful, and determined individual who can work independently and is comfortable in a close-knit, team-oriented setting.
- Can use computers and software programs, including email, Microsoft Word, Excel, and PowerPoint.
- Exhibits strong organizational skills for handling several projects at one time. Must be detail-oriented and can follow through without direct supervision.
- Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization's religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
