Ministry Function
The Hospitality & Guest Relations Manager supports the ministry of Convoy of Hope by providing support to the Hospitality & Guest Relations Director. This role includes assisting with logistical details, event planning and management, correspondence, general communication, and functional support of activities as assigned.
Essential Duties & Responsibilities
- Assists with the daily operations of Guest Relations, which includes managing emails, tracking expenses, coordinating meetings and appointments, communicating, and planning and coordinating events as assigned.
- Communicates with vendors, suppliers, and the Convoy of Hope team on any events.
- Assists with gathering information from clients regarding events.
- Monitors and responds to the Event Ticket system.
- Creates and assists with managing the schedule of events.
- Provides onsite support and coordination during events.
- Cultivates strong relationships across working groups and assists in collaboration with them for a cohesive event.
- Works with the travel team to book travel for guests as needed.
- Serves as a liaison for internal teams to ensure timely completion of projects.
- Collaborates with the Hospitality & Guest Relations Director to create needed procedures, systems, training, and documentation for Convoy of Hope.
- Acts as backup barista in the Hope Supply Co. Coffee Shop as needed.
- Keeps all information confidential and operates at the highest level of integrity.
- Performs all other duties as assigned.
Required Knowledge, Skills & Abilities
- A high school diploma or equivalent is required.
- Two or more years of experience with event planning and management is required.
- Two or more years of experience with customer service is required.
- Possesses excellent written and verbal communication skills.
- Demonstrates professionalism, resourcefulness, and determination.
- Displays ability to work independently but is also comfortable in a close-knit, team-oriented setting.
- Possesses ability to use computers and software programs, including email, Microsoft Word, Excel, and PowerPoint.
- Exhibits strong organizational skills for handling several projects at one time.
- Displays detail orientation and ability to follow through without direct supervision.
- Demonstrates ability to handle multiple event details and problem solve quickly as issues arise.
- Possess ability to lift up to 30 pounds and to stand and walk for extended periods.
- Attends and actively participates in Convoy of Hope At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization’s religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
Supervisory Responsibilities
This position will oversee volunteers and flex team members.
