Ministry Function
The Inventory Administrative Assistant serves the ministry of Convoy of Hope by providing administrative support to the Inventory department.
Essential Duties & Responsibilities
- Acts as administrative point of contact for the Inventory department.
- Generates and distributes donor receipt letters.
- Updates and maintains the donor letter database.
- Collects and organizes donor-related files including donation receipts, Form 8283 records, and necessary 990 information.
- Electronically scans and organizes all donation receipt packets and maintains filing for hard copies.
- Collects and merges digital documents in preparation for direct-ship receipts.
- Assists in administrative work in regard to inventory purchases.
- Fulfills all other duties as assigned.
Required Knowledge, Skills & Abilities
- A high school diploma or equivalent is required.
- One or more years of relevant work experience is required.
- Displays exceptional proficiency in Microsoft Excel and Word.
- Exhibits ability to manage confidential information in a professional manner.
- Possesses strong organizational and communication skills, meticulous attention to detail, and ability to multitask and manage deadlines.
- Demonstrates flexibility including ability to work overtime and respond to rapidly changing priorities.
- Attends and actively participates in Convoy of Hope’s At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization’s religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
