Job Summary
The Administrative Assistant II for Clerk of the Board reports directly to the Deputy Clerk of the Board as well as their designee to support the Clerk of the Board team and is supervised by the Director. The Administrative Assistant II should have an knowledge of the Cook County Board of Commissioners. In addition, the team member is required to work with various agencies and departments within Cook County. The Administrative Assistant II assists with but is not limited to formatting, proofing, stamping, sealing and certification of all documents related to the Board. Must be able to field queries from the Board President’s office, Commissioners, Cook County employees and the public. General knowledge of Illinois Legislative statue and capacity to research legislative historical documents. The AA II also serves during the Election cycle in various capacities required for election day preparation. In addition, they are responsible for any other Clerk of the Board-related duties as deemed necessary by the Deputy Clerk of the Board or their designee.
Essential Job Duties
- Assists with editing and proofing Microsoft Word and Adobe/PDF documents
- Provides clerical support to the Director and department staff
- Assists with entering Legislative items into Legister
- Proofreads and edits board documents as needed
- Responds to inquiries from Clerk’s office divisions/departments and County agencies
- Assists with preparing and maintaining board records
Minimum Qualifications
- High School Graduate
- Proven knowledge in Microsoft Office Suite (Word, Excel and Outlook)
- Proficient with Adobe Acrobat Suite
- Detail oriented
- Strong organizational skills.
Preferred Qualifications
- Associate degree in Business or Public Administration or related field
- Work experience in board governance or similar.
Knowledge, Skills and Abilities
- Ability to work under pressure and meet strict deadlines.
- Clear communication skills, including but not limited to writing and speaking.
- Strong problem-solving skills.
- Ability to make independent, competent and objective decisions.
- Knowledge of governmental processes, as well as the interplay between the Clerk’s office and various other governmental agencies.
Physical Requirement
- Ability to stand, sit, and kneel for long periods of time.
