Position Summary RWDSU LOCAL 200 ONLY

A confidential and critical position, which under general supervision performs a variety of specialized, complex activities in the coordination of Human Resources services in the areas of recruiting. Strong emphasis on proactive problem resolution and departmental communications.

Typical Duties

  • * Plan, coordinate, and participate in HR related programs and activities.
  • * Investigate, document, and resolve HR problems and issues.
  • * Serve as a primary contact for routine HR-related inquiries from management and staff. Research and respond to issues. Escalate more complex inquiries to the appropriate resource.
  • * Coordinate the recording and maintenance of HR and Payroll data, and the generation and distribution of related reports and information (HR metrics, data requests, etc.).
  • * Conduct preliminary analyses of data, setting forth progress and adverse trends. Provide input into any recommendations or conclusions.
  • * Prepares weekly and/or monthly HR metrics reports, including but not limited to HR transactions; tracking of leaves; data regarding non-CCHHS staff such as contractor/consultant staffing, volunteer staffing, etc.; recruiting and staffing metrics and other reports when and as needed.
  • * Review all personnel forms for completeness and accuracy.
  • * Assist in the preparation and distribution of internal communication.
  • * Maintain liaison with Payroll and others across CCHHS as necessary to obtain and provide information.
  • * Assists of visit and the person they wish to see and directs customers to proper area within the HR Department. Answers inquiries and distributes requested documents as needed.
  • * Works on special projects when and as assigned by management.
  • * Performs other related duties as assigned.

Recruiting Duties:

  • * Support the recruiting team with day-to-day processing of correspondence and any other forms of written communication needed for candidates including verification that all hire documents are properly completed and are in compliance with established guidelines; works with Hiring Managers to obtain required documents, signatures, etc.
  • * Data entry and maintenance in the CCHHS HRIS System and Recruiting Database; generate reports from same when needed and to assist in the performance of data analysis.
  • * Research, investigate and follow up on internal and external inquiries related to vacancies posted, vacancies filled, etc.
  • * Works and coordinates with Labor on the tracking of vacancies filled via labor actions such as re-calls.
  • * Prepares copies of requested postings and/or paperwork in connection with inquiries from the union, in response to FOIA requests, OIIG investigations and other inquiries.
  • * Set up and maintain files on all candidates to ensure all required pre- and post-employment documents, appropriate acknowledgement forms, transcripts, certifications; licenses, etc. are in the file.
  • * Performs employment-related actions including but not limited to verifications of employment, reference checks, online verifications with sites such as state and federal exclusion and sanction websites.

Minimum Requirements

  • * High School Diploma or G.E.D. certificate and six (6) years of full-time work experience in a Human Resources Department in an administrative or clerical role (must provide copy of High School Diploma or GED)

OR

  • Graduation from an accredited college or university with a Bachelor's degree or higher and two (2) years of full-time work experience in a Human Resources Department in an administrative or clerical role (must provide official transcripts at time of interview)
  • * Must be proficient in Microsoft Office with a high concentration in Excel spreadsheets
  • Must be able to type 30 words per minute (testing will be required)
  • This position requires traveling to work assignments for which the employee must provide his or her own adequate means of transportation

Preferred Qualifications

  • Previous work experience in a major hospital, medical center, university, government agency or corporation with more than 1,000 employees working at the same site
  • Previous work experience in a fast-paced environment with a high volume of work
  • PHR certification

  • Enthusiastic and self-motivated.
  • * Excellent administrative, organizational, and time management skills.
  • * Must be dependable, flexible and work as a team member.
  • * Must be able to travel to and from and at or out of any of the Cook County Health &Hospitals System facilities, including the Cook County Bureau of Human Resources in a timely manner
