    CoolToday is currently seeking Permit Coordinators to join our team comprised of creative and energetic employees, who are dedicated to delivering the best customer service experience every day.  Our Permit Coordinators act as the liaison between the company, customer and municipalities to pull and expedite permits for home services installations and build outs.

Responsibilities

What Will I Do?

  • Pull permits
  • Coordinate with the company, customer, and municipalities to ensure work is completed timely and within code
  • Schedule and verify inspections 
  • Process purchase orders
  • Start to finish project administrative assistance to include, permitting, submittals, contracts, change orders, subcontracts, billing, inspections and final close out
  • Responsible for company data management and record keeping systems, electronic and paper
  • Assist with service set up, dispatch and tracking
  • Setup and maintain vendor/subcontract accounts and information spreadsheets
  • Prepares reports, communications, meetings
  • Utilizes appropriate software/tracking systems to keep project information current and accessible
  • Assist with tool/truck inventory tracking/maintenance
  • Provide follow up assistance on the new hire process
  • Maintain detailed status of projects assigned throughout the office
  • Managing and updating Department Policies and Procedures manuals
  • Promote and foster teamwork and communication among all the services
  • Ensure all files, records and correspondence for projects are prepared and maintained
  • Deals with confidential and proprietary information on a regular basis and must be able to exercise discretion and maintain confidentiality
  • Manage difficult or emotional customers or employee situations; makes customer satisfaction a top priority
  • May perform additional administrative duties as required
  • Performs all duties in conformance to appropriate safety and security standards
  • This position is expected to uphold the mission and values established by the organization

Qualifications

Do I have What it Takes?

  • High School diploma or GED
  • 3 years of office administration experience
  • Prior administrative experience in plumbing, HVAC, Electrical or refrigeration services is a plus
  • Ability to efficiently multi-task and manage rapid change with interruptions while consistently seeing the big picture and anticipating customer needs
  • Outstanding interpersonal skills with the ability to effectively communicate and work with individuals and groups at all organization levels; ability to work independently and as part of a team
  • Superior customer service and communication skills, both verbal and written
  • Excellent critical thinking, organizational and planning skills
  • Very strong attention to detail
  • Proficient using MS Outlook, email, Excel, Word, PowerPoint
  • Flexibility to work beyond the regular work schedule
