Operations Manager, Accounting Assistant, & Project Closeout & Warranty Manager

Position Summary
Coombes Development is seeking a highly organized and detail-oriented Operations Manager to support financial operations, provide executive-level administrative assistance, and oversee project closeout and warranty processes. This role is ideal for a multitasker with experience in construction-related accounting, executive support, and project administration.
The Operations Manager will be responsible for managing accounts payable, change orders, back charges, and executive coordination, while also ensuring seamless project closeouts and warranty processes. This position requires strong financial acumen, exceptional organizational skills, and the ability to collaborate across multiple departments.
The ideal candidate is numbers-driven, highly organized, and thrives in a fast-paced environment. A strong understanding of financial management, contract administration, and executive-level communication is essential.
Key Responsibilities
Accounting
- Assist the Controller in processing accounts payable, ensuring accuracy and timely payments.
- Track and manage change orders and back charges for all projects and joint ventures.
- Maintain all subcontractor documentation.
- Distribute and coordinate project bidding packages through the accounting platform.
- Assist with tax documentation and financial audits as needed.
- Compile and process expense reports and bookkeeping tasks.
- Maintain strict confidentiality regarding financial and company information.
Operations and Executive Administrative
- Prepare and renew all LLC documentation.
- Manage and renew all insurance policies required by lenders.
- Serve as the primary point of contact for executive communications and coordination.
- Oversee executive schedules, meetings, and travel arrangements to ensure seamless logistics.
- Draft, edit, and proofread memos, reports, presentations, and invoices.
- Handle and distribute incoming documents, including memos, invoices, and contracts.
- Assist with entitlements, coordinating with relevant municipal departments.
Project Closeout & Warranty Management
- Coordinate project closeout documentation, ensuring all required paperwork is completed.
- Track and manage warranty claims, ensuring timely issue resolution.
- Maintain accurate records of closeout documents, warranty claims, and compliance documentation.
- Liaise with project managers, subcontractors, and vendors to resolve financial and contractual disputes.
- Monitor and manage back charges and change orders, ensuring accurate tracking and documentation.
- Support financial reporting on project costs, profitability, and outstanding liabilities.
Required Qualifications
- 4 years of accounting experience, including at least 2 years in construction-related accounting.
- Bachelor’s degree in Accounting, Finance, or Business Administration preferred.
- Strong proficiency in Microsoft Outlook, Excel, and Word.
- Experience with construction accounting software (preferred).
- Excellent organizational, time management, and multitasking skills.
- Strong communication and problem-solving abilities.
- Ability to maintain discretion and confidentiality at all times.
- Dependable, resourceful, and detail-oriented in a fast-paced environment.
