Overview
We are seeking an organized, proactive, and highly detail-oriented Office Assistant to join our dynamic team. This position plays a crucial role in supporting the Executive Assistant by handling a variety of administrative and operational tasks, ensuring seamless day-to-day operations of the executive office. The ideal candidate will be adaptable, resourceful, and able to thrive in a fast-paced environment while maintaining discretion and professionalism.
Key Responsibilities:
- Administrative Support: Assist the Executive Assistant in managing schedules, appointments, and calendars for executives.
- Communication: Help draft and proofread correspondence, including emails, memos, and reports; screen phone calls and direct inquiries as appropriate.
- Meeting Coordination: Help schedule and prepare materials for meetings, conferences, and events, ensuring all logistics are handled efficiently.
- Document Management: Assist with filing, organizing, and maintaining digital and physical files, ensuring that all documents are easily accessible.
- Special Projects: Take on tasks and support special projects as directed by the Executive Assistant, including meeting planning, research, or reporting.
- Team Collaboration: Work closely with other departments to facilitate effective communication and project execution.
Qualifications:
- Experience: 1 years of experience in administrative support or a similar role. Experience working in a fast-paced environment is a plus.
- Skills:
- Excellent and Proficient in QuickBooks
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Familiarity with scheduling software (e.g., Outlook, Google Calendar)
- Ability to maintain confidentiality and exercise discretion
- Detail-oriented with strong time management skills
- Ability to work independently and take initiative when needed
- Education: A high school diploma or equivalent is required; an associate’s or bachelor’s degree in business administration, communications, or a related field is preferred.
