Purpose of Role :
Reporting to the Director of Human Resources, the Front Desk Administrative Assistant will be responsible for coordinating and administering a wide range of tasks and processes to support the day-to-day business needs.
This role will be located at the regional head office in Tucson, Arizona. Occasional travel to the site in Helvetia, Arizona may be required.
ROLE ACCOUNTABILITIES :
- Front desk : Greet guests and visitors; handle company inquiries, sign in sheets and mail / deliveries; answer calls; and keep the reception area looking tidy and welcoming
- Provide administrative support to the executive and management group, including scheduling meetings, preparing agendas and coordinating travel arrangements; assisting with files and correspondence; ordering lunches for meetings; coordinating VIP site tours; and assisting with coordinating company events
- Prepare expense reports for members of the executive / management group
- Assist Finance with data entry of changes to the vendor master file in the SAP accounting system.
- Handle and report any facility concerns, following up with property management and / or housekeeping to resolve any issues; coordinate access and keys to the office, including tracking and maintaining the security of secondary keys for doors / cabinets in the office
- Manage company vehicles for the Tucson office, including coordinating vehicle registration, maintenance and reservations, and maintaining the security of vehicle keys
- Schedule courier pickups / deliveries
