Coppersmith is a full service Customs Broker, International Freight Forwarder and Logistics Specialist for all phases of international transportation who has handled importing and exporting shipments since 1948. The Administrative / Import Coordinator is responsible for administrative initiatives of daily operational activities as well as assisting the Import department with the documentation and clearance of import shipments in compliance with U.S. CBP regulations. RESPONSIBILITIES

- Responds to routine inquiries and other customer service related duties.
- Process vendor payments, check processing, ACH payments, and bond renewals.
- Assists import team with account set up for Hunting Trophy clearances and Commercial imports.
- Maintains customer profiles on shared drive.
- Coordinate freight forwarding shipments and deliveries.
- Produce rate quotes and monthly rates for high volume accounts.
- Prepares and distributes invoicing for import and delivery shipments.
- Assist in coordinating the release of goods with carriers, CBP and other governmental agencies.
- Assist in tracking and tracing of incoming shipments and ETA's regarding import cargo movement; arrange cargo pick-up and transfer.
- Communicate updates to shipment status, issues arrival notices, and obtains documents for customs entries.
- Assist in the preparation of documentation and submission to U.S. Customs and Border Protection and other participating agencies.
- Assist with customs entries and check customs release details to ensure any discrepancies are handled promptly and accurately.
- Dispatch shipments to trucker per customer needs.
- Bill/Invoice file to respective customer; resolve and reconcile payables and vendor accounting issues.
- Assist import department and colleagues in compiling quotes; communicates quotes and rates to clients.
- Respond promptly and professionally to customer's requests and inquiries via phone and email.
- Cover shared accounts and other team accounts when necessary; participate in ongoing cross training.
- Attend training sessions to increase knowledge, experience and maintain current knowledge of international customs clearance, importing, and freight forwarding.
- Processes ISF filings and communicates with customs to confirm release status of commodities.
- Serves as a liaison to the customer regarding all shipment details; proactively engages customer through regular contact via phone, e-mail, fax, or in-person visit.
QUALIFICATIONS/SKILLS
- 7 years' experience within an administrative / clerical position.
- 2 years’ experience working within a Customs Brokerage environment or freight forwarding industry preferred.
- Knowledge of import regulatory documentation requirements is a plus.
- Proficient in Microsoft Office applications; specifically excel, outlook, office, TEAMS, SharePoint, OneNote.
- Demonstrates appropriate judgement and ability to make decisions.
- Highly developed organizational, documentation and client interaction skills.
- Team Player and ability to be an effective team member.
- Ability to analyze and prioritize tasks and projects; Exceptional ability to multi-task.
- Ability to solve practical problems and carry out responsibilities under general supervision.
- Ability to organize workload for effective implementation.
- Ability to write simple correspondence and present information in one-on-one and small group situations.
- Strong customer service, quality, and results orientation.
- Ability to interact effectively at all levels and adapt to organizational and external environment.
Additional:
- Fluent in English.
- The ability to sit or stand for long periods, and use a computer, including mouse, keyboard and monitor.
- Minor lifting may be required (under 20lbs) as well as filing, the use of a telephone, copy machine/printer, and other office tools on a regular basis.
Standard business operating hours: Mon- Fri. 08:00 - 17:00 (OT hours on as needed basis)
