Job Description
SUMMARY OF JOB PURPOSE:
The Compliance Specialist position exists to ensure all temporary and independent contractor claims professionals meet employment requirements. This may include, but is not limited to, background check screening, I9 compliance, state claims professional licensing and client specific provisions. They are responsible for creating and updating policies and procedures to ensure that the organization adheres to legal requirements and industry best practices. In addition, they maintain accurate records of compliance activities and prepare reports for management, regulatory agencies, or other stakeholders as required. They serve as legal liaison between Eberl corporate counsel, plaintiff and defense attorneys and our claims professionals as well as track and report on all litigation that Eberl or our claims professionals are a party to.
PRIMARY JOB RESPONSIBILITIES
Deliver consistent and frequent scheduled contacts/communications to claims professionals regarding licenses and compliance requirements.
Research regulatory agency rules and regulations and communicate updates accordingly.
Develop relationships with key personnel at regulatory agencies to foster timely information sharing.
Utilize database filters, reports, and dashboards to monitor and ensure compliance with client, regulatory agency, background check, I-9, and other compliance requirements.
Collaborate with relevant teams and departments to address compliance gaps, provide status updates, and ensure timely completion of all requirements by established deadlines.
Respond in a timely manner and communicate accordingly with outside corporate attorney, client attorney, claims professionals and internal team members for legal needs related to depositions, lawsuits, and subpoenas involving both Eberl and/or our claims professionals. Responsible for all legal tracking mechanisms and reporting.
Take ownership of daily tasks and responsibilities, ensuring all work is completed accurately, efficiently and in alignment with departmental objectives
Manage emails and calls promptly and professionally, ensuring clear and timely responses and actions to support internal and external stakeholders.
Apply current procedures and implement new and innovative procedures as a team and/or independently.
QUALIFICATIONS
High school diploma/GED required. Associate’s degree or some college coursework desired.
Commitment to confidentiality and ability to handle sensitive information discretely.
Attention to detail, strong work ethic and ability to multi-task are essential
Ability to collaborate within the team and other departments as well as ability to work independently.
Ability to learn quickly, work efficiently, with an emphasis on accuracy.
Must possess excellent organizational skills and ability to prioritize.
Proficient in Microsoft Office suite and comfortable working in databases. Working knowledge of SharePoint is preferred.
Must be able to work a flexible schedule, including some weekend, evening and holiday shifts.
Passionate about providing exceptional customer service and relationship building.
Strong written and verbal communication skills. Comfortable with extensive phone contact with employees and customers.
Effective time management skills to prioritize tasks and meet deadlines.
Ability to represent Eberl professionally and positively to external candidates.
Previous experience in an administrative, customer service, human claims professionals or compliance role is preferred.
WORKING CONDITIONS
Work is generally performed in a typical office environment but may have an opportunity for a hybrid work arrangement which includes days in the office and remote work. In a hybrid work arrangement, team members must adhere to the Hybrid Work Policy.
PHYSICAL ACTIVITIES AND REQUIREMENTS
Work can involve lifting and carrying up to 25-30 lbs.; frequent standing, sitting, walking, bending, and reaching; occasional kneeling and stooping; operating office equipment; periodic driving likely; visual acuity to prepare, read, and organize detailed hard copy and electronic documents; ability to speak and to hear the spoken word in normal face-to- face, telephonic, and web-based business communications. Willingness to work additional hours as needed, including occasional evening, overnight, and weekend hours. Willingness to accommodate occasional meetings and work activities that may be scheduled after normal daytime business hours.
