Salary: $85,000

Reports to: Director of HR
Schedule of Hours: Monday through Friday, 8:00 AM–4:00 PM, with evening and weekend work as needed. This position is on-call 24/7 for emergency incident response.

Hybrid Status: 90% Onsite Work – some administrative tasks can be done remotely as agreed upon.

About the Organization

Community Overcoming Relationship Abuse (CORA) is the only agency in San Mateo County providing crisis intervention and supportive services to survivors of domestic violence and their children. CORA seeks a Facilities Program Manager to oversee facilities-related responsibilities and safety concerns across four major sites in San Mateo County.

Position Summary

The Facilities Program Manager ensures the smooth operation of CORA’s facilities, including management of grant-funded projects, IT equipment distribution, ADA compliance, and vendor relations. This position also oversees the setup and maintenance of existing and new facilities, manages the facilities budget, and serves as the primary contact for all facilities-related needs.

Primary Responsibilities

  • Facilities Oversight:
    • Serve as the main point of contact for facilities at four sites (main building including 2211 and 2205, Lisa’s House, Coni’s House, and Satellite Offices).
    • Manage setup for new facilities, expansions, or consolidations.
    • Ensure ADA compliance across all facilities.
  • Budget and Vendor Management:
    • Oversee the facilities budget and allocate costs to appropriate revenue sources.
    • Solicit competitive bids, review contracts, and select vendors for facilities projects.
    • Source and manage vendors for specialized work, supplies, and equipment.
  • Project Management:
    • Lead grant-funded facilities projects and ensure timely completion.
    • Oversee the distribution and management of IT equipment, ensuring availability and functionality.
  • Operations and Maintenance:
    • Supervise the Building Maintenance Specialist and oversee volunteer involvement in facilities projects.
    • Perform routine repairs, preventative maintenance, and troubleshooting for building equipment and systems.
    • Manage work orders, including furniture assembly, painting, lighting replacements, and conference room setups.
    • Oversee landscaping, security, donation acceptance, and warehouse operations.
  • Safety and Emergency Response:
    • Update and maintain the emergency response plan, conduct fire drills, and ensure compliance with safety procedures.
    • Respond to emergency incidents promptly, ensuring continuity of operations.
  • Events Support:
    • Coordinate the setup of equipment and spaces for onsite and offsite CORA events.

Knowledge and Skills Required

  • Experience:
    • 3–5 years of facilities management experience preferred.
    • 2–3 years of project management experience, including contract negotiation and team communication.
    • Demonstrated ability to manage budgets and vendors effectively.
  • Skills:
    • Project Management and Problem-Solving Skills: Ability to independently assess facility needs, develop actionable plans, allocate resources, oversee execution, and ensure quality and compliance with organizational standards
    • Familiarity with ADA compliance and permitting processes preferred.
    • Experience with Microsoft Office Suite is a plus.
  • Education:
    • High school diploma or equivalent required.
    • Completion of 40-hour domestic violence training within six months of employment.
  • Physical Requirements:
    • Ability to lift, carry, push, or pull up to 50 pounds.
    • Ability to work in indoor and outdoor environments, including heat, dust, and rain.

Work Environment

  • Background check, including DOJ fingerprinting clearance, required.
  • Valid CA driver’s license, reliable transportation, and insurance required.
