SUMMARY DESCRIPTION:
To perform a variety of diverse and complex secretarial and clerical functions to relieve learning directors in schools of administrative detail; to provide clerical and technical assistance to administration; to maintain a variety of student records and files; to plan and organize office activities; and to coordinate flow of communications for the administrator; and to perform a variety of duties relative to assigned area of responsibility.
DUTIES AND RESPONSIBLITIES
Essential and other important responsibilities and duties may include, but are not limited to, the following:
- Provide assistance to school administration, teachers, parents and students in order to assure the student’s success in the school’s program.
- Serve as secretary to one or more supervisor within an assigned school office; plan and organize activities to coordinate flow of communications with supervisor.
- Facilitate problem solving for students on campus; assist in various programs available, working with students, parents, teachers, completing necessary forms, scheduling meetings and conferences, translating as required (if applicable).
- Facilitate and assist community agencies in support of students; assist parents in filling out paper work; inform parents of situations regarding students.
- Assist in enrolling scheduling, providing information for new students; prepare necessary forms and information needed to students upon transferring.
- Oversee students awaiting disciplinary action, assist in disciplinary action; oversee other students in office as required.
- Greet visitors and answer telephone; respond to questions and provide information related to department policies and functions and applicable school rules, regulations and policies; take messages or refer callers to appropriate personnel.
- Treat anyone entering office area with respect. Act with professionalism to all students and staff.
- Assure timely communication between office and School employees; receive, verify and transmit information to other School departments and personnel, parents, students, outside agencies and the public; obtain records and information as needed.
- Compile information and prepare reports for assigned programs and school activities; compose correspondence and forms independently or from oral directions as required.
- Work closely with the School counselors in placing students in appropriate programs upon entering school.
- May attend meetings and take minutes as required; prepare meeting agendas and assure inclusion of appropriate materials.
- Coordinate various projects independently requiring independent judgment and initiative; schedule appointments and meetings for administrator and maintain appointment calendar.
- Operate a personal computer and peripheral equipment, using modern software, including word processing and data input; operate a variety of modern office machines and equipment such as a computer, calculator, FAX and copier; sort and distribute mail.
- Maintain supply inventory of assigned area; order material, equipment and supplies as needed.
Qualifications
EDUCATION/EXPERIENCE:
Any combination of education and experience that would provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and skills would be:
1. Education: High school diploma required. An Associate’s Degree, 60 credit hours, from an accredited college or university preferred
AND
2. Experience: Experience in clerical or administrative work is desired.
