The Executive Assistant will provide high-level administrative support to the Endocrinology Leadership Team. This position requires a proactive, resourceful, and highly skilled professional capable of managing a wide variety of complex administrative tasks with precision, discretion, and sound judgment. The ideal candidate will have exceptional communication skills, strong multitasking abilities, and the capacity to thrive in a fast-paced environment. This is a hybrid position, requiring on-site presence 3 days per week.

Responsibilities:
- Coordinate and manage the Leadership Team’s schedule, including meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them to ensure optimal use of the Leadership team’s time
- Support logistics for Endocrinology Leadership Team meetings, conferences, and large-scale events. Prepare detailed agendas, gather necessary materials, and ensure the seamless execution of all logistical aspects
- Assist the Talent Acquisition team in the recruitment process for new candidates and facilitate the onboarding process for new employees
- Manage confidential information appropriately, ensuring the protection of both company data and internal personnel processes
- Assist the Endocrinology Leadership team with a broad range of while ensuring cross-functional collaboration and communication to meet objectives
- Identify opportunities to improve internal processes, increase efficiency, and support cross-departmental collaboration
- Support leadership in conducting productive and effective staff meetings, ensuring all relevant stakeholders are prepared and engaged
- Process expense reports and reconcile corporate credit card statements. Maintain accurate financial records and ensure compliance with company policies and procedures
- Ability to manage multiple high-priority tasks simultaneously while maintaining attention to detail and accuracy
- Ability to view the calendar as a fluid and flexible puzzle, identifying potential challenges and proactively resolving them
- Ability to remain calm, focused, and composed in high-stress situations
- Ability to identify critical priorities, manage competing demands, and exercise sound decision-making in fast-moving situations
- Maintain a positive outlook with a willingness to “roll up sleeves” and cheerfully pitch in wherever needed
- Excellent organizational skills with a proven ability to prioritize, track, and execute projects efficiently and effectively
- Ability to quickly learn and implement new procedures, software, and technologies
- Bachelor’s degree (Business Administration, Communications, or a related field)
- Proven experience as an Executive Assistant or in a similar high-level administrative role, ideally supporting C-level executives
- Experience in the pharmaceutical or healthcare industry is highly preferred
