Sales Administrator - Lighting
Designers Fountain, a lighting distributor, has an exciting career opportunity in the So. Bay (Long Beach) area for a Sales Administrator. This position is an integral part of our team and requires an energetic and outgoing person with a great attitude.
The Sales Administrator will eliminate administrative duties from key sales personnel so that they can concentrate more effectively on selling, rep analysis and review, overall account and business strategy and improving efficiencies while growing sales.
Job Responsibilities and Duties
- Backup and liaison with as needed for all CS related activities except order entry. You will work very closely with CS.
- Work with reps and internally handling day-to-day business requests now sent to the National Sales Manager and Commercial Channel Assistant Sales Manager.
- Become a primary point of contact for sales reps and become familiar with internal processes to handle issues or identify which department that needs to get involved to resolve. Follow up and ensure completion.
- Catalog requests, sales report requests, quality, inventory, and pricing support are among these daily responsibilities. Liaison with E-Comm, planning, product development, CS, marketing, and quotations as needed.
- Maintain sales rep email list. We need to communicate new products, promos, company announcements, price changes, and other information more effectively.
- Handle all administrative assignments for National Sales Manager and Commercial Channel Assistant Manager.
- Develop and provide all regular reports and presentations, including Spectra reports, spiff reports, all showroom related rebates, monthly sales reports, and showroom account analysis as needed.
- Work with/coordinate with marketing dept. regarding development and delivery of catalogs, supplements, images, price lists, spec sheets, and other related marketing materials.
- Develop reports on bestsellers in order to keep sales, reps, customers, PD, and logistics up to date with the most current information related to product activity.
- Work with our CSM program (ECat) and coordinate with reps to ensure full utilization. Follow up and report to National Sales Manager on activity.
- Work with customer service to provide information to sales reps and customers (i.e. tracking, pricing, availability, inventory ETAs, welcome letters, credit applications as well as supporting documents, etc.)
- Attend Dallas Market twice a year and become a key point of contact for reps, build relationships with reps and key customers, and complete various tasks as needed.
- Manage Dallas Market logistics, including hospitality, catering, parking, cleaning, hangtags, assist in showroom layout, as well as any other tasks delegated to you.
- Assist with backorders, review key items with inventory management, be proactive in working with inventory planning.
- Work with quotations, sales managers, sales reps, and customers regarding quote submissions and follow-ups.
- Prepare sales commission report monthly, sales rep invoice reports, and commission reports for the sales reps in Excel format.
- Assist credit department with credit application reviews and essential document verification for account set up.
- Review and process invoices through Oracle, submit for approval, receive, and advise AP to process any invoices received.
- Assist in developing promotional flyers and sales materials for DF and DF Pro, working with marketing as required.
- Assist with proof-reading and editing all communications, including catalog development.
Job Skills and Requirements:
- Degree and 2 years’ experience in Administrative Assistant
- Lighting or electrical distribution experience a plus
- Ability to manage multiple projects; Detail-oriented and organized
- Ability to analyze and resolve “situations” quickly.
- Resourceful and ability to take ownership quickly and reliably.
- Good communications skills both verbal and written.
- Good customer relationship skills.
- Proficient in the MS Windows operating system, MS Word, MS Excel, MS PowerPoint, Outlook, and Internet usage and Oracle.
Job Type: Full-time
Pay: $23.00 - $25.00 per hour
