Position Summary:
The Assistant Event Coordinator will support the planning, coordination, and execution of a variety of events, including corporate events, conferences, weddings, and community gatherings. This role is ideal for someone who is organized, detail-oriented, and has a passion for event planning. You will assist the Event Manager in managing logistics, liaising with vendors, and ensuring that events run smoothly from start to finish.
Key Responsibilities
Event Planning & Coordination:
- Assist in planning and coordinating events, including researching venues, vendors, and suppliers.
- Support the creation of event timelines, budgets, and checklists.
- Collaborate with clients to understand their vision and requirements, and help bring their ideas to life.
Vendor & Supplier Management:
- Communicate with vendors (e.g., caterers, decorators, AV teams) to ensure timely delivery and setup of services.
- Negotiate contracts and secure necessary permits for events.
- Assist in scheduling meetings with vendors and clients as needed.
On-Site Event Support:
- Assist in setting up and breaking down event spaces, ensuring everything is in place and meets the required standards.
- Coordinate with staff and volunteers to ensure a seamless event experience.
- Handle any on-site issues or last-minute changes with professionalism and efficiency.
Administrative Duties:
- Maintain detailed records of event activities, budgets, and timelines.
- Support the Event Manager in preparing post-event reports and evaluations.
- Manage event RSVPs, guest lists, and other administrative tasks.
Marketing & Promotion:
- Assist in promoting events through social media, email campaigns, and other marketing channels.
- Help design promotional materials and coordinate with the marketing team for event announcements.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and work effectively under pressure.
- Proficient in Microsoft Office Suite and event management software (e.g., Eventbrite, Cvent).
