CORE is seeking a Project Coordinator/Office Administrator for the Reno office with experience in administration and certified payroll.
Responsibilities
The Project Coordinator/Office Administrator will work closely with Construction Project Managers and Superintendents. The position is responsible to assist multiple project teams with all start up and close out responsibilities including:
- Office Administration:
- Keep office supplies stocked.
- Manage building maintenance contracts including mechanical systems, landscaping, snow removal, etc.
- Manage spare fleet vehicle inventory for visitors.
- Answer and direct office phone calls.
- Project Start Up:
- Assist in setting up a project site as directed by Project Manager and Superintendent.
- Obtain necessary subcontractor information.
- Order project signage and posters.
- Obtain, track, and manage subcontractor insurances.
- Project Closeout:
- Acquire and assemble O&M submittals.
- Assist with organization of attic stock materials.
- Assist with owner training.
- Acquire and assemble warranty letters.
- File all closeout documentation.
- Certified Payroll
- Manage and evaluate subcontractor certified payroll reporting utilizing LCP Tracker.
- Various other administrative tasks
- Support team with organizing, tracking, and managing project documentation.
- Track certain compliances utilizing Textura Payment Management and other software as necessary.
- Assist project teams with miscellaneous duties
Candidate Qualifications
- Must possess the highest level of integrity and a positive attitude
- Must work well in a team environment and be committed to serving others
- Experience in the construction industry is preferred
- Experience in construction software is preferred
- Experience in certified payroll is preferred
- Excellent communication (written and verbal) and teamwork
- Proficiency in Microsoft Office (Excel, Outlook, & Word)
- High attention to detail
- Strong organizational skills
- Ability to juggle multiple duties and consistently meet deadlines
- Ability to recognize discrepancies and communicate them to the appropriate personnel
