The Program Assistant is a flexible, helpful support staff who performs a variety of responsibilities including but not limited to: planning, coordinating, and attending meetings and events, assisting with volunteer management, ordering and maintaining supplies and inventory, virtual program assistance (remote connection, Zoom, cameras, etc.), ordering meals for events, data entry, event registrations and troubleshooting, and writing routine communications (announcements, emails, social media posts, etc.).

This position primarily works out of the Association’s Hudson office, but frequently travels and reports to other locations throughout Columbia and Greene Counties based on program needs.

Required Qualifications

  • Associate’s degree. GED/High School Diploma plus 2 years’ experience may substitute for an Associate’s degree.

  • Experience relevant to the role of the position.

  • Ability to help ensure diverse, equitable, and inclusive programs.

  • Travel Requirements - Ability to meet frequent travel requirements associated with this position. A valid NYS driver's license with the ability to drive and driving record acceptable for Association insurance coverage are required.

  • Ability to work flexible hours, which may include evenings and/or weekends, as appropriate.

  • Ability to assist with various duties to support programs and program staff.

  • Ability to relate effectively to co-workers, advisors, community, and professional leaders.

  • Computer Skills - Ability to effectively use software including use of the internet, program related software, virtual technology (connections, Zoom, cameras, etc.), and Microsoft Office Suite including Outlook, Word, PowerPoint, Publisher, and Excel.

In addition, the position frequently lifts, moves, or transports program materials and equipment.  The position regularly shops for program materials and food. The position regularly works in outdoor weather conditions including extreme heat and cold, precipitation, and in environments like fairs, outdoor community events, farms, gardens, and natural environmental settings.

Position Responsibilities & Essential Functions

Administrative Responsibilities:

Direction – 5%

  • Help plan assigned programs and events.

Management – 5%

  • Help manage assigned programs and events.

Coordination/Operation – 85%

  • Coordinate and attend programs, meetings, and events.

  • Assist with committee meetings, scheduling, etc.

  • Assist program staff as needed or assigned.

  • Assist with the volunteer management processes and documentation.

  • Serve as additional 4-H youth chaperone on district and statewide events. 

  • Maintain professional relationships with partner organizations, agencies, businesses, etc.

  • Coordinate requests for tabling/exhibit events; work with staff on scheduling, displays, and educational resources distribution.

  • Maintain inventory of programs materials and supplies. Order and purchase supplies, materials, meals, and food for programs.  Communicate with supervisors if materials are needed.

  • Perform event set up and break down (room set up, tables, chairs, cleaning up, etc.).

  • Assist staff with program technology needs (set up, connections, Zoom, cameras, breakdown, etc.).

  • Book conference rooms and locations for assigned programs.

  • Perform data entry, program and event registrations, and complete paperwork for assigned programs.

  • Assist with program participant recruitment efforts.

  • Assist with routine communications (announcements, emails, social media posts, etc.) and marketing efforts.

  • Collect evaluations and other data from program participants.

  • Assist with fundraising efforts.

  • Prepare and submit expense reports.

Professional Improvement – 5%

  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Health and Safety – Applied to all duties and functions

  • Support the Association to maintain a safe working environment.

  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.

This is a full-time (35 hours/week), nonexempt position.    Compensation paid in the range of $20.00 - $21.00 per hour. Excellent benefits, based on eligibility, including:
