We are looking for a full-time Facilities and Equipment Associate to join our team.

The overall goal of this position is to ensure smooth function and optimal maintenance of equipment and facilities. The Facilities & Equipment Associate is responsible for maintaining, repairing and/or coordinating the repair of all medical and laboratory equipment, end-user IT, telecommunication and office equipment, and general facilities. This role serves as the first contact point for staff regarding equipment, IT and facility issues, monitoring and addressing concerns, escalating as appropriate, and providing feedback.

Duties And Responsibilities

Medical and Laboratory Equipment

  • Responsible for the ongoing proper functioning and maintenance of all medical and laboratory equipment in the hospital
  • Manages the first-line equipment support ticket system to support end-user communication and data tracking
  • Maintains medical and laboratory equipment on an appropriate schedule to ensure proper functionality
  • Manages the preventative maintenance schedule, in addition to repairs, for medical and laboratory equipment, and coordinates with vendors to schedule maintenance.
  • Serves as a backup to the clinical team for medical gas maintenance

Information Technology

  • Responsible for the day-to-day monitoring and upkeep of end-user IT equipment
  • Works with the hospital’s IT Service Contractor, managing the helpdesk ticket system, addressing first-level issues and escalating as appropriate
  • Ensures that the IT end-user devices, software and applications are functioning according to the hospital’s standards and needs
  • Troubleshoots IT end-user devices, peripherals and software with the IT Service Contractor and/or Management, and follows through to resolution
  • Maintains and troubleshoots office equipment, including printers, phones and telecommunication devices
  • Communicates with the IT Service Contractor and other vendors to troubleshoot issues, and to coordinate service and repair
  • Performs user provisioning and deprovisioning of system access
  • Generates, implements and maintains a running schedule for monitoring, maintenance and lifecycle replacement of hospital-wide end-user hardware and peripherals
  • Works with his/her supervisor/s on system, software and IT service improvements; implements project plans and coordinates third party participation
  • Participates in the IT operational project planning and execution
  • Trains and offers help/education to staff on IT devices, peripherals, IT practices and compliance
  • Compiles and creates reports to aid in strategic replacement, prevention of failure and maintenance of end user equipment and peripherals

Facilities and Facility Equipment

  • Works with, and under the direction of, the Finance Controller, to monitor and maintain facilities
  • Proactively monitors the facility/ies to ensure that the building/s are in good condition, and to identify current or potential issues
  • Manages the first-line facility support ticket system to support end-user communication and data tracking, and ensure that all requests are addressed and handled through to completion
  • Ensures that the physical work environment is in good and safe condition through active evaluation, routine maintenance and proactively addressing issues or problems
  • Works with facility maintenance vendors and schedules maintenance and repairs for structural and facility system issues (including HVAC, plumbing and electrical)
  • Oversees and coordinates service and repairs, adjusting hours as necessary and reasonable to ensure on-site presence and oversight
  • Works to ensure that safety risks are proactively identified and escalated

Requirements And Qualifications

  • High school degree, or equivalent
  • Minimum 3 years of relevant custodial, facilities, and/or maintenance experience in a commercial or hospital setting
  • Very adept with computers, Microsoft and other common software required; experience with veterinary software preferred
  • Experience in maintaining medical and laboratory equipment is highly preferred
