You should be comfortable working with various software applications and have a proactive approach to problem-solving.
- Provide general administrative and clerical support including: community mailings, posting all mailings, scanning homeowner and vendor records to databases, maintaining records for the community in an organized and coherent manner.
- Familiar with association rules and regulations and governing documents for assigned properties.
- Serve clients by phone, in person or through emails, quickly assessing their needs and handling requests in a timely manner or directing them to the proper personnel accurately.
- Answering phones and triaging calls to the best of your ability before determining if it is necessary to escalate to the Property Manager.
- Assist Property Manager with the organization of newsletters, updating website forms and documents, email and letter correspondence, sending notifications and welcome packages where necessary.
- Assists with the oversight, bidding, renewals, and specifications of contracts.
- Facilitates work orders, tracking the completion, reporting, and communications between contractors and Property Manager.
- Aids in the preparation and tracking of regular maintenance programs for client communities.
- Assist Property Manager in planning and organization of monthly board meetings if necessary.
- Performs other duties as assigned.
- Onsite in the Clubhouse from 10:00 am – 1:00 pm: Monday, Wednesday, Thursday and Friday beginning mid-June
- Provide support to the Property Manager and assist in daily office needs onsite.
- Hours onsite are 12 hours per week.
- Answer and direct phone calls.
- Be onsite for any scheduled appointments.
- Assist in the preparation of reports for the Onsite Property Manager.
- Provide support to any visitors in the clubhouse.
- Oversight of community pool to ensure all staff have reported in and the pool is open daily.
